Regulatory Compliance Specialist
Job Description
This position is eligible for remote work anywhere within the United States. Candidates who reside within a commutable distance to our corporate headquarters in Saint Petersburg, FL (including the Tampa Bay area) will follow a hybrid work schedule, typically requiring three days per week in the office.
As a Senior Advisor, Health & Wellness, you will lead and support health care data analytics, manage health insurance–related escalations, and oversee benefit compliance activities. You will serve as a subject matter expert across a range of issues, from basic to complex, and determine when to engage senior leadership or external benefit consultants. The role requires extensive interaction with internal stakeholders, insurance carriers, and third‑party administrators to identify, research, and resolve benefit coverage, leave of absence, and payroll deduction issues.
Essential Duties and Responsibilities- Analyze aggregate health and welfare plan data to inform recommendations related to trends and plan design changes.
- Act as the central point of contact for escalations related to associate insurance issues with carriers.
- Serve as the primary SME on benefit compliance issues including HIPAA, ACA reporting, and 5500s.
- Communicate and ensure understanding of IRS regulations, Family Medical Leave, Health Savings Account regulations and Health Care Reform questions by managers, associates, and potential candidates as needed.
- Manage communication and resolution between associates and benefit plan vendors on eligibility, claims, and adherence to plan provisions.
- Coordinate leave‑of‑absence administration and compliance, liaising with vendors, associates, managers, and HR COEs.
- Assist with transition of associates from leave of absence to potential job accommodation or long‑term disability status.
- Investigate and resolve moderate to complex associate complaints, issues, and concerns regarding benefit programs and leave of absence.
- Audit and resolve differences with associate vacation and sick accrual accounts.
- Process HRMS data for vacation/sick entitlements, enrollment changes, leave of absences, payroll deductions and audits.
- Participate in the RFP process and assist with managing vendor benefit plan implementations.
- Ensure compliance with all applicable state and federal regulations and benefit program requirements.
- Review requested changes for family status to ensure compliance with IRS regulations.
- Prepare and deliver written and oral presentations to internal customers.
- Coordinate new‑hire benefit enrollment process.
- Other duties as assigned.
Strong analytical and problem‑solving skills with the ability to work autonomously within established processes. Proven record of managing complex benefit matters and collaborating with cross‑functional teams.
Knowledge- Advanced knowledge of benefit laws including ERISA, ACA, COBRA, and IRS requirements.
- Proficiency with health care/vendor data analysis and health and wellness plan designs.
- Familiarity with state legislation and federal regulations impacting benefit administration.
- Experience with HRMS systems, report analysis, and payroll deduction processing.
- Knowledge of ERISA plans preferred.
- HIPAA certification or compliance training completed.
- Investigating discrepancies and preparing/processing billing/payment approvals.
- Preparing and delivering presentations to internal customers.
- Proficient in Microsoft Excel and report writing; SQL or People Soft Query preferred.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast‑paced environment.
- High level of customer service and confidentiality.
- Ability to resolve client calls with minimal escalation.
- College degree and a minimum of five years of related experience, or equivalent combination of education and experience.
- Experience in health and welfare group insurance and leave of absence strongly preferred.
- Call center experience requiring problem resolution a plus.
- CEBS or CBP a plus.
- PHR/SHRM certification or continued education in insurance area.
- HIPAA certification or compliance training completed.
$75,000.00 – $95,000.00 per year.
