Job Scope
The Talent Coordinator supports the Talent Acquisition Team by coordinating recruitment activities, ensuring a smooth and efficient hiring process for candidates, hiring managers, and recruiters. This role is highly organized, detail-oriented, and plays a key role in delivering a positive candidate’s experience.
The Talent Coordinator, as with all members of the Shea Properties Team, is expected to conduct himself/herself in a manner, which demonstrates initiative, professionalism, personal awareness, integrity and exercises confidentiality in the appropriate areas of his/her performance.
Job Duties- Coordinate interviews between candidates and hiring managers
- Assist recruiters with candidate sourcing and preliminary screening
- Maintain and update job postings and job descriptions in the ATS
- Send biweekly updates on open positions across locations
- Support recruiting events, job fairs, and other talent initiatives
- Support preboarding activities and ensure completion of all pre-employment requirements
- Review candidate applications prior to background check submission
- Coordinate background checks and drug screenings; confirm results
- Facilitate new hire onboarding and partner with HR team on updates
- Follow up new hires to ensure completion of pre-and-onboarding tasks in ATS (e.g., Taleo)
- Process Form I-9s through E-Verify in compliance with federal regulations
- Accurate recordkeeping ensures all hiring documentation is complete and stored appropriately
- Track new hires, promotions, internal transfers and referral bonuses
- Assist with data collection, analyzing and reporting as needed
- Provide general administrative support to HR team
- Create recruitment marketing materials
- Support special projects and HR initiatives as assigned
- Associate or bachelor’s degree (or equivalent experience) preferred
- A minimum of one year of experience in recruiting coordination, or HR administrative support
- Working knowledge of California labor laws, wage & hour regulations, and compliance requirements
- Strong written and verbal communication skills
- High level of discretion in handling confidential information
- Analytical ability to gather and summarize data
- Proficiency in Microsoft Office (Word, Excel, Outlook), ATS, and HRIS platforms

Customer Focus - Technical/Professional Knowledge
The Human Resources Analyst is based out of the Aliso Viejo corporate office with remote work flexibility for Wednesday and Friday. Hybrid work schedule is subject to change based on business and operational needs. Occasional regional and local travel to property locations may be required. May be required to lift and/or move up to 25 pounds. Hours are usually Monday through Friday from 8 a.m. – 5 p.m.
