Reporting to the Recruiting Manager and Recruitment Lead, the
Talent Acquisition Coordinator
plays a vital role in ensuring a seamless onboarding and candidate experience. You willbe responsible forexecuting essential administrative and coordination tasks across the recruitment lifecycle, including managing new hire paperwork, verifying compliance documents, verifying background checks completion, raising internal support tickets, and managing interview schedules.
Key Responsibilities and Accountabilities

- Interview Coordination: Divide and manage interview schedules for the recruiters, coordinating across video and in-person meetings with candidates and hiring managers.
- Job Postings: Maintain active job postings across ATS platforms, job portals, and social media channels.
- Event Logistics: Assistin coordinating virtual career fairs, campus recruiting initiatives, and local networking events.
- Onboarding Packages: Verify the compliance of onboarding documents, orientation files, and new hire documentation.
- System Support: Raise necessary IT, HR, and access tickets to prepare systems and equipment for new hires prior to their start date.
- Database & ATS Management: Maintainaccuratecandidate data and track applicant status within Sheets, BMS, Workday, and internal record systems.
- Documentation: Maintainorganized, confidential recruitment records and update candidate information in real time.
Required Skills
Job Requirements:
- Experience:
1-2 years of experience in recruitment coordination, HR administration, or high-volume administrative support.
- ATS Proficiency:
Familiarity with navigating Applicant Tracking Systems (e.g., iCIMS, Workday, or similar databases).
- Tech Savvy:
Highly proficient in Google Workspace (Docs, Sheets, Drive, Meet) and scheduling software.

- Attention to Detail: Meticulous record-keeping skills with a high degree of accuracy in data entry and paperwork verification.
- Organizational & Time Management: Ability to manage tight deadlines, multitask, and coordinate complex schedules in a fast-paced environment.

Strong written and verbal communication skills to interact professionally with candidates and internal teams.
- Confidentiality: Demonstrateddiscretion and ability to handle sensitive, confidential HR and recruiting data.
- Problem-Solving: Proactive mindset with the ability toidentifyadministrative bottlenecks and resolve logistical issues quickly.
Schedule
- Fixed schedule Monday to Friday, 9 hrs shift from 9 AM to 6 PM.
Location
- Hybrid: Mostly remote, with 1-4 required on-site days per month.
