About the role
As a Payroll Coordinator at Solace, you will play a vital role in ensuring the accuracy and efficiency of payroll processes for our team. This position requires a detail-oriented individual who is adept at managing payroll systems and has a strong understanding of payroll regulations and compliance. You will collaborate closely with various departments to ensure timely and accurate payroll processing while also addressing any payroll-related inquiries from employees.

- Administer the end-to-end payroll process for all employees, ensuring timely and accurate processing of payroll on a bi-weekly basis.
- Maintain payroll records and documentation, ensuring compliance with federal and provincial regulations.
- Collaborate with the HR team to manage employee onboarding and offboarding processes, including the setup and termination of payroll accounts.
- Respond to employee inquiries regarding payroll, deductions, and benefits, providing clear and accurate information.
- Prepare and submit payroll tax filings and reports, ensuring compliance with all applicable laws and regulations.
- Conduct regular audits of payroll data to identify discrepancies and implement corrective actions as necessary.
- Assist in the development and maintenance of payroll policies and procedures to enhance operational efficiency.
- Support the implementation of payroll software and technology upgrades, ensuring a smooth transition and user training.
- Prepare monthly, quarterly, and annual payroll reports for management review, highlighting trends and areas for improvement.
- Liaise with external vendors and auditors to facilitate payroll-related inquiries and compliance audits.
- Stay updated on changes in payroll legislation and best practices to ensure the company remains compliant.
- Participate in special projects and initiatives related to payroll and HR operations as assigned by management.
- A minimum of 3 years of experience in payroll administration or a related field, preferably within a corporate environment.
- Strong knowledge of payroll regulations, tax laws, and compliance requirements in Canada.
- Proficient in payroll software and systems, with experience in [specific software, if applicable].
- Excellent analytical skills with a keen attention to detail and accuracy.
- Strong organizational skills and the ability to manage multiple tasks and deadlines effectively.
- Exceptional communication skills, both written and verbal, to interact with employees and management.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficient in Microsoft Office Suite, particularly Excel, for data analysis and reporting.
- A degree in finance, accounting, human resources, or a related field is preferred.
- Certification in payroll management (e.g., PCP, CPM) is an asset.
- Experience with HRIS systems and integration with payroll processes.
- Familiarity with Canadian employment standards and labor laws.
- Knowledge of benefits administration and related payroll deductions.
- Previous experience in a fast-paced, dynamic work environment.
- Proficiency in payroll software (e.g., ADP, Ceridian, Payworks) and HRIS systems.
- Strong analytical and problem-solving skills.
- Excellent organizational and time management abilities.
- Strong interpersonal skills to work collaboratively with various teams.
- Ability to adapt to changing priorities and work effectively under pressure.
- This position is based in Ottawa, Ontario, and may require occasional overtime during peak payroll periods.
- The successful candidate will be expected to work in a hybrid environment, with flexibility for remote work as needed.
