About the role:
Capital is on the lookout for a meticulous People Operations Specialist who will oversee essential HR functions and ensure the accuracy of data throughout the employee journey. This role will be pivotal in our Warsaw office, acting as the central point of contact for HR matters and ensuring that our operations align with both local and international standards.

- Manage the entire employee lifecycle, which includes onboarding new hires, facilitating offboarding processes, renewing contracts, and overseeing internal transfers.
- Draft, review, and maintain employment contracts, amendments, and all necessary personnel documentation to ensure compliance and clarity.
- Keep precise records in both HR systems and physical files, ensuring adherence to internal policies and legal requirements.
- Serve as the primary liaison for People Operations in Poland, providing support for the administration of our global workforce.
- Develop and maintain relationships with Employer of Record providers to facilitate operations across various regions.
- Ensure compliance with Polish labor laws, GDPR regulations, and internal company policies to mitigate risks.
- Assist with global mobility initiatives, including managing visa applications, work permits, and coordinating relocation processes for employees.
- Oversee time and attendance tracking systems to guarantee payroll accuracy and timely payments.
- Offer guidance and support to employees and management regarding policy inquiries, leave requests, and necessary documentation.
- Collaborate with cross-functional teams to enhance HR processes and improve overall employee experience.
- Conduct regular audits of HR data and processes to identify areas for improvement and ensure data integrity.
- Participate in the development and implementation of HR initiatives and programs that align with the company's strategic goals.
- A minimum of 3 to 4 years of experience in HR administration or People Operations, demonstrating a solid understanding of the field.
- Proven track record in managing employment contracts and lifecycle documentation effectively.
- In-depth knowledge of Polish labor laws and HR compliance standards.
- Experience working in an international or multinational corporate environment, showcasing adaptability and cultural awareness.
- Professional proficiency in Polish and English, enabling effective communication with diverse teams.
- Familiarity with HRIS tools such as HiBob or Workday, enhancing efficiency in data management.
- Exceptional organizational skills and a strong commitment to maintaining data accuracy and integrity.
- Experience in managing contractors and employees across multiple countries, providing a broader perspective on global HR practices.
- Background in HR process automation or involvement in digital transformation projects that streamline operations.
- Understanding of employment compliance in jurisdictions beyond Poland, adding value to our international operations.
- Previous experience coordinating Employer of Record arrangements, contributing to smoother operational processes.
- Proficiency in HRIS platforms, particularly HiBob and Workday, to manage employee data effectively.
- Strong understanding of Polish labor law and its implications for HR practices.
- Knowledge of GDPR compliance and its relevance to HR operations.
- Expertise in managing employment documentation and ensuring legal compliance.
- Experience in global mobility administration, facilitating smooth transitions for employees relocating internationally.
