HR Leave Of Absence Specialist
Full Bloom is seeking a detail-oriented HR Leave Of Absence Specialist to manage the company's employee leave programs and provide critical support for overall HR operations. This role is responsible for administering and monitoring employee leaves of absence (including FMLA, ADA, and personal leaves) in compliance with federal, state, and local regulations, as well as company policies.
Approximately 25% of the role will support HR Coordinator responsibilities, including UKG HRIS data management, onboarding support, and internal workflow processes. This role collaborates with Payroll, Benefits, and HR Managers to ensure accurate, efficient, and compliant HR service delivery across the organization.
This role is remote-based, primarily operating on East Coast (EST) hours. Occasional travel may be required for team meetings, training, or process implementation in coordination with the line manager.
Responsibilities- Serve as the primary administrator for employee leaves of absence, ensuring timely communication, documentation, and compliance.
- Interpret and apply applicable leave laws (FMLA, ADA, state-specific regulations) in accordance with Full Bloom policies.
- Short Term Disability (STD) management with prudential, state agencies and other vendor solutions.
- Service as the primary point of contact and vendor manager with third-party leave vendors and internal teams to ensure accurate benefit and pay adjustments.
- Serve as the primary point of contact for employees and managers regarding leave status, timelines, and required documentation.
- Coordinate with Payroll and Benefits teams to ensure accurate leave-related pay, time-off balances, and benefits continuation.
- Track and manage leave cases using UKG and internal tracking systems; generate regular reporting for HR leadership.
- Audit weekly censuses to ensure UKG profiles are accurate for employees on leave.
- Process bi-weekly payroll audits and imports to ensure pay indicators are updated for employees on leave
- Maintain confidentiality and integrity of employee health and leave records at all times.
- Coordinate with the Workers Compensation Manager to update employee statuses
- Perform accurate and timely data entry into UKG for employee records including new hires, transfers, and terminations.
- Monitor and correct demographic, payroll, and tax fields as needed to ensure data consistency.
- Support HR operational audits and assist with the maintenance of records for compliance purposes.
- Troubleshoot and resolve HRIS (UKG) data flow or configuration issues affecting onboarding, leave tracking, or reporting.
- Maintain system workflows related to onboarding and leave administration, including task notifications and forms.
- Serve as a resource to employees and managers regarding leave policies, onboarding workflows, and system-related inquiries.
- Respond to incoming emails, voicemails, and cases within established service level timelines.
- Collaborate cross-functionally with HR Managers to expand team knowledge and continuously improve the employee experience.
- Conduct periodic audits of employee records (I-9s, background checks, leave documentation) to ensure full compliance with internal and external requirements.
- Ensure accurate classification and digital filing of employee documents in alignment with document retention policies.
- Develop and maintain internal knowledge base content (e.g., FAQs, job aids) to support employee and manager self-service on leave and onboarding topics.
- Generate and maintain leave and onboarding reports, identifying trends and opportunities for compliance or efficiency improvements.
- High School Diploma required;
Associate's or Bachelor's degree in Human Resources or related field preferred. - At least 3 years of HR experience, with 1–2 years in leave of absence administration.
- Proficiency with UKG (Ulti Pro) and experience with iCIMS or similar ATS systems preferred.
- Strong understanding of federal and state leave laws (e.g., FMLA, ADA, PFL) and HR compliance practices.
- Experience working in a fast-paced environment, managing multiple priorities with attention to detail.
- Excellent written and verbal communication skills; ability to explain complex information clearly.
- Highly organized with strong analytical and customer service skills.
