Location:

Home Office - New Freedom, PA (with travel to various Penn-Mar worksites as needed) Status:
Full-Time, Non-Exempt, on-site during probationary period, then hybrid

As the HRIS & Benefits Administrative Coordinator, you will be responsible for:

  • Human Resources Support
    • Maintain digital personnel files and HR documentation within systems such as SharePoint.
    • Ensure the confidentiality, accuracy, and integrity of team member records.
    • Conduct audits of HR files to support compliance and record retention requirements.
    • Process employment verifications and reference requests.
    • Manage team member lifecycle transactions, including new hires, transfers, and terminations within the HRIS.
    • Update and maintain team member information and HRIS records.
  • Benefits Administration
    • Support annual benefit open enrollment and communications for team members.
    • Assist with administration of team member bonus programs.
    • Reconcile benefit invoices and resolve discrepancies with vendors.
    • Serve as a backup for new hire benefits orientations and enrollment activities.
    • Escalate urgent or complex benefits issues to appropriate HR staff.
  • General HR Operations
    • Provide administrative and clerical support across HR functions.
    • Respond to team member inquiries with professionalism and care.
    • Support HR events and initiatives, including health fairs, benefits education, and team member appreciation and recognition programs.
    • Deliver exceptional customer service to team members, vendors, and external partners.
    • Assist with special projects and other duties as assigned.

Required Qualifications

  • Associate's degree + 3 years of administrative/support experience (candidates with a Bachelor's degree and less than 3 years of experience are strongly encouraged to apply!)
  • Experience working within an HR function preferred
  • Experience supporting benefits/open enrollment preferred
  • Experience with HRIS and payroll systems preferred
  • Strong proficiency with Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Strong customer service and interpersonal abilities
  • Ability to maintain confidentiality and exercise sound judgement
  • Exceptional attention to detail and organizational skills
  • Ability to prioritize multiple responsibilities in a fast-paced environment
  • Collaborative approach and ability to build positive working relationships
