The HR Coordinator delivers employee services in support of the global HR operations. Responsibilities include processing and maintaining electronic and paper employee records, administering various HR programs, and providing customer service to employees and managers through the timely response and resolution to inquiries.
KEY DUTIES & RESPONSIBILITIES- Maintain the HR/employee data within the various HR systems, including the processing of new hires, job and status changes, pay changes, transfers, terminations, benefit elections, position management etc. Ensure data integrity through accuracy of entry and participation in employee/HR data audits.
- Answer incoming emails and phone calls to the HR service center. Review, research, resolve or and close all assigned inquiries within agreed upon service level agreements (SLAs).
- Support the adoption of Employee Self Service (ESS) and Manager Self Service (MSS) by providing real-time guidance and coaching to end users.
- Create and maintain the personnel files, including the collection and maintenance of regulatory information such as I-9, self-identification, etc.; conduct periodic reviews of personnel files to ensure all required documents are up-to-date and complete.
- Provide information and problem resolution to the HR Centers of Excellence and Employee Relations Specialist.
- Administer various HR policies and processes such as, unemployment, health and welfare benefits, fringe benefits, employee recognition, immigration, relocation, etc.
- Audit, track, and process invoices, ensuring accuracy of billing and on-time payments to vendors.
- Receive, track and prepare bi-weekly incentive file and process other non-recurring global incentives for timely payment to employees
- HRIS system maintenance support as related to hiring, termination processing and position management to ensure data integrity
- Complete and submit regulatory/statutory reporting ensuring accuracy and on-time completion.
- Coordinate the statutory employment postings to ensure all locations are compliant with federal, state/province, and local employment notification and posting requirements.
- Maintain the processes and procedures for the delivery of employee services; ensure documentation remains current and accessible.
- Serve as the main point-of-contact for the HR department during internal and external audits.
- Create and file electronic and/or paper copies of employee documents as needed.
- Produce and distribute routine and basic ad hoc workforce reporting as needed.
- Develop awareness and continually increase knowledge of current trends in HR through classes, reading, or other mechanisms. Participate in professional groups, meetings, and conferences.
- Perform other related duties as assigned by management. Adheres to established policies and procedures.
