Chicago, IL – hybrid WFH, 3 days onsite in the loop, 2 days work from home

Summary:
The Senior IG Analyst is responsible the development and implementation of strategic projects and initiatives related to Information Governance and Records Management.

Responsibilities
  • Develop strategies and procedures to ensure the classification, confidentiality, privacy, security, retention and defensible disposition of records and information.
  • Document, analyze, and assess current records, email and document management processes. Identify issues and potential risks. Analyze potential benefits and risks of alternatives; measure the impact of planned changes; and provide justification for the recommended solution.
  • Monitor, research and evaluate technological advances in the industry to identify appropriate alternatives for enhancing Firm business operations.
  • Draft process controls, test plans and assessment criteria to measure compliance with established processes and policies.
  • Develop and deliver training and coaching to business professionals and lawyers regarding the proper management of records, documents and email in accordance with Firm policies.
  • Collaborate with colleagues in other Firm departments to ensure alignment of information governance initiatives with Firm's objectives.
  • Design business processes and workflows for the creation, classification, access, maintenance, compliance management and destruction of electronic information.
  • Prepare recommendations for the design or reengineering of processes and procedures to facilitate compliance with Firm requirements.
  • Assist with development of change management programs and implementation plans needed to comply with Firm requirements.
  • Serve as IG resident expert by staying current on leading practices for securing, monitoring, and implementing governance for documents throughout the information lifecycle.
  • Prepare status reports, metrics, and compile statistics on processes and projects. Create or update spreadsheets, pivot-tables and other relevant reports.
  • Prepare presentations or written reports suitable for senior management to educate and inform them of issues or risks and recommendations for mitigation.
Specifics
  • This individual will join a team of two Information Governance Analysts (all in Chicago) and report to our Senior Manager of Information Governance (based out of our Houston office); they report to our Director of Records Management (based out of Chicago)
  • This individual will work on various data, file, and email projects – they will monitor all firm activity (examples: is anyone emailing themselves client documents from their work email to a personal email, is anyone uploading client data to the cloud without permission, etc.)
  • The information governance team handles a lot of different types of projects. Some project areas are insider threat, data loss prevention, compliance assessments against regulations and/or client requirements, deletion of records/data (this is a big area in the law firm world related to records management), and projects related to the integration of 5-6 records systems. These are just some examples – they dabble in many areas.
  • For example, the team is currently working on implementing an audit program to ensure sensitive documents are properly secure and filed in the appropriate workplaces. This will create an automated program so that appraisals and compensation are filed correctly. If the documents are misfiled, the proper security is applied. They are spearheading evaluations of prospective applications and completing POC testing.
Skills we're seeking
  • 8+ years of experience with Information Governance and/or Records Management
    • Must have at least some formal Information Governance experience (more the better, and more recent the better)
  • Must either have experience working in Information Governance at a law firm OR have Net Documents experience
    • Having both of these, would be even better, but need to have experience with one of the other
  • Proficiency with Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook.
Nice to haves (in this order):
  • Bachelor's degree or Master's Degree, ideally in a relevant field
  • Information Governance Profession (IGP) certification
  • Big law experience
  • DLP experience with tools such as Cyberhaven, Netskope, and Proof Point
  • SharePoint experience
  • Insider Threat experience
  • Intapp Walls experience
  • Data monitoring software experience
  • Microsoft Purview experience
