The Ad Operations Coordinator is responsible for executing and quality-assuring EHR, email, and digital banner campaigns across internal platforms and third-party vendor systems. The individual will manage campaign set-ups, trafficking, and ongoing QA/QC to ensure accurate, compliant, and on-time campaign delivery. This role partners closely with internal teams and external vendors to translate media plans into technically sound builds, proactively identify issues, and maintain a high standard of operational excellence throughout the full campaign lifecycle.
Duties/ResponsibilitiesCampaign Execution
- Set up and traffic EHR, email, and banner campaigns across internal platforms and third-party vendor systems
- Translate media plans and campaign specifications into accurate technical builds
- Ensure proper implementation of targeting, creative assets, flight dates, pacing, and tracking
- Review submitted materials and project components to confirm correct creative assets, specs, files, tracking, and placements
- Conduct pre-launch, in-flight, and post-launch QA/QC to ensure campaigns meet specifications and compliance standards
- Validate creative rendering, links, tracking, targeting logic, and reporting alignment
- Identify, document, and resolve discrepancies efficiently to minimize campaign risk
- Participate in post-mortem discussions to help improve processes and future campaign execution
- Perform daily dashboard checks as needed to monitor campaign health and performance
- Support Campaign Managers and Specialists with troubleshooting (e.g., under-delivery, pixel fires, viewability issues)
- Traffic creative assets, including uploading new creatives and implementing tags
- Document all changes, including testing tags, verifying targeting, and confirming creative rendering
- Process campaign extensions for internal review (adjusting end dates, budgets, and impression caps as needed)
- Maintain accurate campaign trackers and system documentation
- Follow established SOPs, QA checklists, and healthcare compliance requirements
- Contribute to continuous process improvement and operational best practices
- Troubleshoot basic technical issues and escalate more complex problems when needed
- Stay up to date on digital advertising tools, platforms, and industry best practices
- Maintain organized documentation for campaigns, learnings, and optimizations
- Experience in ad operations, campaign operations, or digital media execution helpful, but not required
- Hands-on experience trafficking and QA’ing banner campaigns
- Strong attention to detail and ability to manage multiple campaigns concurrently
- Experience working with third-party vendors and technical campaign builds
- Experience with EHR or point-of-care advertising platforms (preferred)
- Familiarity with healthcare or other regulated advertising environments
- Experience with ad servers, campaign management platforms, or DSP workflows
- Comfortable working with data, spreadsheets, and reporting tools
- Eagerness to learn marketing platforms and advertising technology
- Campaigns consistently launch on time, accurately, and compliantly
- QA processes prevent errors from reaching live environments
- Vendors are aligned, responsive, and accountable
- Internal teams trust the quality and reliability of campaign execution
- Hybrid working if within 40 miles of a Relevate Health Office (Dallas, Boston, Cincinnati, New Jersey)
- Remote working if outside 40 miles of a Relevate Health Office
- Travel may apply based on position
- Hours may vary based on position and location of client
