Project Coordinator

Manage Enterprise IT Projects:
The Project Coordinator supports the planning, execution, and delivery of high‑profile, enterprise IT projects and the ongoing operations of the Project Management Office (PMO). Responsibilities include supporting multiple concurrent projects and deepening institutional knowledge of the University’s administrative IT environment.

Senior Project Coordinator

Manage Enterprise IT Projects:
The Senior Project Coordinator performs advanced project management for the University of Illinois System, applying industry‑best practices, stakeholder engagement, and continuous improvement to project and portfolio management processes.

Responsibilities
  • Develop project work plans, schedules, cost estimates, resource plans, and status reports.
  • Ensure adherence to project quality standards through review of deliverables.
  • Facilitate project team meetings and provide guidance on best practices, coordinating with stakeholders.
  • Identify, analyze, and respond to project risks and issues, recommending corrective actions.
  • Communicate project status, progress, and outcomes to stakeholders, program leads, and leadership at defined review points.
  • Provide support for the AITS PMO, including facilitating the IT Governance process, collecting and analyzing project performance data, and promoting organization-wide use of project and portfolio management tools.
  • Apply specialized knowledge to support planning for individual projects and enterprise‑wide initiatives.
  • Recommend and implement continuous improvements to project management processes, standards, and tools.
  • Analyze performance data and produce executive‑level summary reports and custom reports aligned with organizational needs.
  • Perform ongoing trend analysis related to project performance, scheduling, and resource capacity management.
  • Provide ongoing project management training, guidance, and coaching.
  • Manage organizational change management efforts related to enterprise IT initiatives, including stakeholder engagement, communication planning, and user adoption activities.
  • Monitor and assess project interdependencies, resource constraints, and organizational impacts across multiple concurrent initiatives to support strategic decision‑making and portfolio prioritization.
  • Facilitate collaboration between technical teams, vendors, and business units to ensure successful implementation and integration of enterprise technology solutions.
  • Perform other related duties as appropriate for a Project Coordinator or Senior Project Coordinator.
Qualifications
  • High school diploma or equivalent.
  • For Project Coordinator:
    Two (2) years of combined college coursework and/or work experience as described in the conversion table or equivalently documented experience in IT roles.
  • For Senior Project Coordinator:
    Five (5) years of combined college coursework and/or work experience as described in the conversion table or equivalently documented experience in IT roles.
  • Experience in hardware/software support, programming, network design, network engineering, or IT systems integration.
  • Demonstrated project management experience in IT‑related functions.
Knowledge, Skills, and Abilities
  • Strong computer skills with Microsoft Office (Excel, PowerPoint, Word).
  • Strong analytical, quantitative, and problem‑solving skills.
  • Strong organizational skills with consistent attention to detail and deadlines.
  • Excellent verbal, written, and listening skills and the ability to interact effectively across the organization.
  • Ability to manage multiple project streams efficiently and diplomatically in a complex environment.
  • Ability to lead, coach, and mentor others.
  • Effective team‑oriented contributor with facilitation skills for cross‑functional teams and conflict resolution.
  • Demonstrated knowledge of project management methodologies and tools, with a willingness to learn.
