Route Genie is a modern, all-in-one software platform designed for medical transportation providers. As our IT Systems Administrator, you keep the company's internal technology running. That means our business software and online (SaaS) applications, employee computers and mobile devices, hardware setup and repairs, user accounts and access, and IT security policy. This role reports to the Head of Technology. Your job is to keep our staff, devices, and business systems working smoothly and securely.
You are also our main point of contact with our outside cybersecurity team. You coordinate their work, track what needs to be fixed, and help keep us compliant.
This role does not manage our AWS cloud servers day to day - that work is handled by the Dev Ops team in Engineering. For AWS, you set and review user access and security rules and work with the Dev Ops team on security and compliance.
This is a hybrid position in our downtown Buffalo office, offering flexible core business hours Monday through Friday and one work-from-home day per week. The salary range is up to $60-68k per year, based on experience plus an annual bonus opportunity.
What You'll Do- Administer our core business systems:
Google Workspace, Slack, Air Call, and Jira/Confluence. - Manage software licenses: adding and removing seats, handling renewals, and controlling costs.
- Manage our computers and mobile devices — setup, imaging, updates, and security (using MDM).
- Handle the hardware lifecycle: buying, deploying, refreshing, and RMA (returns, repairs, and warranty replacements).
- Keep an accurate inventory of IT equipment and software licenses.
- Provide technical support to internal staff (all levels), and troubleshoot hardware, software, and network issues.
- Set up new employees and remove access for departing employees (accounts, devices, and permissions).
- Act as the main contact with our outside security team — coordinating reviews, fixes, alerts, and reporting.
- Manage user access across systems and run regular access reviews.
- Business software:
Google Workspace, Slack, Air Call, Jira, Confluence, Salesforce, Stripe Billing. - Devices & endpoints: macOS and Windows, MDM/endpoint management, endpoint security (EDR/antivirus, encryption).
- Identity & HR:
Rippling, single sign-on, access reviews. - Security & compliance:
Drata (SOC
2), ProofPoint (email security), AWS IAM (access policy). - Networking: TCP/IP, DNS, DHCP, VPN, SSL/TLS certificates.
- Automation:
Bash, Python, or Power Shell for routine tasks and reporting. - Set and enforce IT security policy, including access rules for AWS (policy only - Dev Ops runs the servers).
- Support our SOC 2 compliance work and audits, and track items that need to be fixed.
- Manage email security and follow up on security alerts with our security partner.
- Manage IT vendors (hardware, software, phone, and security).
- Automate routine IT tasks and keep our IT documentation up to date.
Required:
- 2–4 years of experience in corporate/internal IT, systems administration, or IT support.
- Hands‑on experience administering business SaaS tools (Google Workspace admin or similar).
- Experience managing computers and devices (MDM, imaging, hardware lifecycle, and RMA).
- Strong understanding of user accounts and access management.
- Solid networking basics (TCP/IP, DNS, DHCP, VPN, TLS).
- Strong troubleshooting skills and the ability to work on your own.
- Clear communication with both technical and non-technical people.
- An information security background — experience working with (or as the contact for) a security team or provider; a security certification such as Security+ is a plus.
- Experience with SOC 2 or similar compliance programs.
- Familiarity with HIPAA — we handle protected health information (PHI).
- Stripe Billing or other payment-platform experience.
- Experience with Rippling (HR, device management, and single sign-on).
