Position: Workers' Compensation Claims Coordinator

At Pro Service Hawaii, we partner with thousands of Hawaii businesses to handle the HR complexity that can otherwise overwhelm them — payroll, benefits, risk management, and more. Our Workers' Compensation team sits at the center of that promise, helping injured employees navigate one of the most stressful moments of their working lives while keeping employers informed, protected, and compliant. When a claim starts well, everything downstream goes better — and that's exactly what this role is built to ensure.

As a Workers' Compensation Claims Coordinator, you'll own the first and most critical phase of every claim. From incident intake to documentation to stakeholder communication, you'll be the person clients, claimants, and vendors count on to keep things moving. This is a precision role with a human dimension — someone needs to understand both how to process a subpoena and how to talk to someone who just got hurt at work.

IN

THIS ROLE YOU WILL
  • Intake and process all workplace incidents and workers' compensation claims accurately and efficiently within the claims management system
  • Initiate, prepare, and distribute required forms and compliance documents — including WC-14s, Authorizations for Use, IME scheduling, and subpoena responses
  • Manage the Service First queue daily, triaging inquiries, resolving issues at the first point of contact, and escalating appropriately
  • Coordinate timely vendor and attorney payments, document follow-up, and disbursement tracking to ensure zero missed obligations
  • Deliver proactive, consistent updates to clients and claimants throughout the claim lifecycle — building trust through transparency and responsiveness
  • Maintain documentation integrity across all claim files to meet compliance standards and support internal reporting
What You’ll Bring To The Team

You're service-oriented, organized, and thrive in fast-paced environments where accuracy matters. You can juggle multiple deadlines while remaining calm and professional with claimants and clients alike. Whether coordinating with physicians or processing time-sensitive paperwork, you consistently bring both urgency and empathy.

  • Experience handling high-volume client communication in claims, insurance, or legal environments
  • Familiarity with compliance-heavy workflows (e.g., medical records, subpoenas, incident forms, vendor invoices)
  • Skilled in navigating claims systems, intake tools, and internal case queues to manage and track tasks
  • Strong written and verbal communication skills, especially under pressure
  • Proven ability to manage multiple priorities, stay organized, and meet service-level expectations
  • Comfortable working cross-functionally with external parties (e.g., clients, doctors, attorneys, vendors) and internal teams
IS THIS ROLE RIGHT FOR YOU?

This role runs on urgency and accuracy in equal measure. You'll manage high volumes of time-sensitive work — forms, communications, payments, system entries — without letting anything slip. The documentation requirements are strict, the regulatory stakes are high, and the people on the other end of every claim are going through something difficult.

The good news: you won't be doing this alone. You'll work with in a team that takes quality seriously, where escalation paths are clear and your colleagues are genuinely invested in getting outcomes right. If you've worked in a claims, insurance, or legally adjacent environment and know how to stay organized under pressure while treating people well, this role is built for someone like you.
