Insurance Operations Coordinator
McGill Junge Wealth Management (MJWM) is a rapidly growing comprehensive wealth management team located in Central Iowa. The Insurance Operations Coordinator is an integral member of our national premier wealth management team that delivers customized wealth management and investment strategies, complex financial planning, and retirement income distribution strategies for our clients. We serve emerging affluent, high-net-worth, and ultra-high-net-worth individuals, families, and business clients.
Role Profile:
The Insurance Operations Coordinator supports the execution of the firm's insurance operations strategy through workflow management, underwriting coordination, quality control, team training, and client service support. Working closely with the Director of Insurance Operations, this role helps ensure consistent operational excellence and superior client experience while serving as a technical resource for advisors and team members.
- Coordinate, maintain and continuously improve insurance workflows to support efficient and consistent execution of operational processes.
- Identify workflow bottlenecks and recommend process improvements to enhance team effectiveness and client experience.
- Assist with case design preparation, insurance illustrations, and proposal development.
- Monitor underwriting activity and proactively facilitate case progression.
- Coordinate with underwriters, home office partners, advisors, clients, and third-party producers to resolve underwriting requirements and remove obstacles.
- Respond to underwriting and application-related questions from advisors and support team members.
- Execute quality reviews of insurance applications, policy changes, and service requests to ensure completeness, accuracy, and readiness for submission.
- Serve as the first point of escalation for insurance applications, policy service issues, and client service inquiries.
- Provide support for policy owner service activities and coordinate the timely resolution of service requests as needed.
- Communicate directly with clients, advisors, home office personnel, carriers, and third-party producers regarding service requests and open cases to completion of request.
- Deliver responsive and accurate support while maintaining a high standard of client experience.
- Assist with management of relationships for unsegmented insurance clients as directed.
- Deliver training and development programs for Insurance & Planning Associates (I&PA) and Client Service Associates (CSA).
- Provide hands-on support and coaching related to insurance processes, workflows, systems, and best practices.
- Assist with onboarding and ongoing development of new team members.
- Serve as a resource for operational questions and workflow guidance.
- Collaborate with the Director of Insurance Operations on process documentation and standard operating procedures.
- Participate actively in team meetings and contribute to operational initiatives and continuous improvement efforts.

- Backup for Director of Insurance Operations
- Understand, support, and exhibit the firm's vision, mission, and strategy.

- Participate in strategic initiatives, special projects, and process improvement efforts.
- Support operational excellence by identifying opportunities for increased efficiency and consistency.
- Represent MJWM professionally with clients, home office partners, and external business relationships.

- Associate's or Bachelor's degree in business, risk management, finance, accounting, financial planning, or related field preferred.
- 3-5+ years of experience in insurance operations, financial services operations, client service, or related field preferred.
- Iowa Life & Health Insurance License required or obtainable within six months of hire.
- Completion of Northwestern Mutual Essentials training preferred or obtainable within required onboarding timelines.
- Advanced understanding of insurance products, underwriting processes, and policy owner services.
- Strong communication skills with demonstrated experience delivering training and development.
- Experience processing life, disability, long-term care, and annuity business preferred.
- Experience working with CRM systems and workflow management tools.
- Strong Microsoft Office proficiency.
