The Litigation Assistant provides comprehensive support to attorneys across all phases of litigation, including discovery, pleadings, court filings, and trial preparation in both State and Federal Courts. This role is also responsible for maintaining Compulaw and Outlook calendars, scheduling appointments, managing document preparation, handling timekeeping and billing tasks, answering phones, and performing additional legal assistant duties as needed. This position involves frequent interaction with partners, associates, staff, and clients and requires strong judgment, professionalism, and discretion in a fast-paced legal environment.
Dutiesand Responsibilities
- Draft, revise, redline, proofread, and assemble correspondence, memoranda, and legal documents, including pleadings, briefs, closing documents, and discovery materials.
- Prepare and organize files and binders for hearings, depositions, meetings, and trials.
- Manage multiple attorney calendars using Compulaw, the Docketing Department, and Outlook to schedule meetings and appointments.
- Provide litigation support, including Federal, Bankruptcy, and State court filings, e-filings, and trial preparation.
- Assist with client engagement and retention by preparing engagement letters, conducting conflict checks and waivers, and opening new matters.
- Enter attorney time and collaborate with assigned timekeepers to prepare billing submissions; distribute monthly invoices to clients.
- Submit attorney expense reports.
- Provide overflow support to other offices as needed.
- Maintain a high level of confidentiality regarding firm and client matters.
- Minimum of five (5) years of experience in a mid‑sized or large law firm, supporting at least four attorneys.
- Advanced proficiency in Microsoft Word (2016), including styles, track changes, document comparison, and generating tables of contents and authorities; strong Outlook skills; basic proficiency in Excel and PowerPoint.
- Experience with Net Documents, Compulaw, Best Authority, and Adobe Acrobat Pro/DC preferred.
- Exceptional grammar, spelling, and proofreading skills.
- Solid understanding of legal terminology, court rules, and litigation procedures.
- Practical knowledge of client billing practices.
- Highly organized, reliable, detail‑oriented, and service‑focused.
- Ability to anticipate attorney needs, manage competing priorities, and exercise sound judgment with minimal supervision.
- Strong teamwork skills and ability to thrive in a fast‑paced litigation environment.
- Proficiency with NYSCEF and ECF/PACER e‑filing systems.
- Basic knowledge of e‑discovery principles preferred.
- General familiarity with a broad range of legal matters.
- Bachelor’s degree preferred and/or a minimum of five (5) years of relevant litigation experience.
