The Arizona Attorney General’s Office Child and Family Protection Division/Protective Services Section is seeking a Legal Secretary Supervisor to train and provide support to new legal secretary hires, assist the Office Administrator in overseeing and co‑managing workflow and works closely with contracted service providers and the client. This position will be responsible for providing secretarial support to one or more Assistant Attorneys General which includes;
preparation of all legal pleadings and documents necessary to process dependency/severance cases on behalf of the client; drafting and typing correspondence; answering inquiries from client, court personnel, and others regarding case activity and status; inputting data into and using an automated case management system to maintain and track case records and activity; independently generating legal forms needed in all types of actions;
maintaining court calendar and legal deadlines; preparing documents and legal memoranda; and other projects as assigned, including transcription.
Remote Options:
This position may be eligible for Remote Work two days a week.
Duties involve reviewing, creating, and processing materials and information that are confidential by Federal and State laws. Preferred candidate will have extensive experience as a legal secretary in the Protective Services Section, and a solid understanding of our processes and procedures. Regular attendance is required.
Knowledge, Skills & Abilities (KSAs):Knowledge
- Knowledge of word processing equipment, legal terminology, legal forms, court procedures and applicable time‑frames, in general and specifically and extensive knowledge of Juvenile Court Rules related to dependency, severance and guardianship practice, the principles, concepts, practices, methods and techniques common to modern law office

- Building and maintaining interpersonal relationships

- Managing and handling a heavy work load under pressure with multiple deadlines.
- Type 60 WPM
Ability
- Must be able to handle a high volume of work and stressful situations.
- Ability to operate word processor for preparation of legal documents.
- Ability to track and follow through on voluminous court actions in various states.
- Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records.
- Ability to organize, prioritize, and perform varied tasks and track multiple deadlines simultaneously.
Three years of experience as a Legal Secretary II within the Protective Services Section; completion of a qualified legal training program may substitute for one year of experience.
Pre-Employment Requirements:- Travel may be required for this position. A valid Arizona Driver’s License is required, along with consent to have your driving record run periodically.
