Legal Operations Specialist / Legal Assistant Position Overview
We are assisting United Real Estate, a large, fast-growing, top ranking real estate brokerage franchisor in their search for a Legal Operations Specialist/Legal Assistant at their office in Kansas City, Missouri. This position reports to the Director of the Legal Department and supports the in‑house Legal Department. The position focuses on legal operations, insurance and claims coordination, document and records management and cross‑functional workflow support.
Key responsibilities include the ability to manage risk, meet deadlines, and maintain organized, defensible records. It offers meaningful responsibility, hands‑on exposure to contracts and legal operations, and the opportunity to grow alongside an evolving in‑house legal function.
- Support the Legal Department with insurance and claims‑related matters, including E&O claims, certificates of insurance (COIs), renewals, endorsements, and carrier communications
- Track and route subpoenas, legal notices, and claims correspondence, exercising judgment to identify time‑sensitive or higher‑risk matters
- Coordinate with insurance brokers, carriers, and internal teams to gather information, resolve issues, and ensure timely follow‑through
- Assist with lease‑related insurance documentation and compliance support for company‑owned and affiliate offices
- Assist with vendor and franchisee contract administration, including maintaining contract files, tracking amendments, and supporting renewals and updates
- Prepare initial drafts of contract amendments or routine legal documents using approved templates and prior forms, for Legal Director review
- Review incoming contracts and amendments for completeness and flag issues, inconsistencies, or missing information to Legal leadership
- Maintain accurate, well‑organized legal and insurance records using Microsoft One Drive/SharePoint, including proper naming conventions, version control, and retention standards
- Save, index, and retrieve legal documents, correspondence, and third‑party submissions to support matter files, audits, renewals, and internal requests
- Ensure confidential and sensitive information is handled appropriately and consistently
- Use Microsoft 365 tools (Outlook, Word, Excel, Teams, One Drive, SharePoint) for daily legal operations and communication
- Use Asana to manage and track legal projects, recurring compliance tasks, renewals, deadlines, and cross‑functional workflows, ensuring accountability and timely completion
- Monitor assigned tasks through completion, follow up as needed, and proactively identify risks, delays, or gaps in information
- Support process improvements and future system implementations as Legal operations evolve
- Take ownership of assigned legal operations matters from intake through completion, exercising sound judgment, proactively following up with stakeholders and external partners, documenting outcomes, and escalating issues appropriately
- Communicate professionally with internal teams (Operations, Finance, Network Operations) and external partners (insurance brokers, carriers, outside counsel, vendors, and franchise affiliates)
- Exercise discretion and judgment in escalating issues and prioritizing competing deadlines
- Provide general legal operations and administrative support as needed
- 3+ years of experience in a legal assistant, legal operations, compliance, insurance, or contract‑support role; experience in an in‑house legal department, franchisor, or regulated industry preferred
- Familiarity with E&O insurance, COIs, or claims administration, drafting initial contract amendments or working from contract templates, and the ability to transition to additional legal systems or workflows preferred
- Demonstrated ability to think critically, follow tasks through to completion, and manage multiple priorities independently
- Strong working knowledge of Microsoft 365, including SharePoint; experience using Asana or similar project management tools a plus
- Strong attention to detail and organizational skills
- Professional written and verbal communication skills
- Demonstrated customer service mindset, with the ability to handle questions, issues, and follow‑ups calmly and professionally while balancing competing priorities and deadlines.
