Job Duties/Responsibilities
- Draft and revise letters, pleadings, subpoenas, deposition notices, and court‑ordered documents, including initial disclosures, witness lists, exhibit lists, preliminary reports, status reports, scheduling orders, pre‑trial orders, etc.
- Draft, review, analyze, and revise routine legal documents as requested by attorneys, such as deposition summaries, chronologies, witness files, and testimony reviews for relevance to specific facts or issues.
- Manage discovery, including investigation, organization and preparation of interrogatories, requests for production, and discovery responses.
- Perform all elements of litigation case management: file management, case calendaring, discovery and trial activities, organizing notebooks and binders.
- Interact with outside entities (courts, government agencies, expert witnesses, corporations, vendors and other law firms) and internal clients to gather information and coordinate activities for trials, mediations, arbitrations and appeals.
- Schedule witness interviews and depositions; gather documents, assist in preparation, arrange court reporters, and summarize depositions.
- Provide administrative support: scheduling meetings, handling attorney calls, managing mail, traveling arrangements.
- Manage attorney calendar for litigation, advise of upcoming deadlines, schedule deadlines from court orders, update case and trial charts.
- Prioritize calls and meetings.
- Organize and maintain physical and electronic records and files.
- Prepare and track legal hold letters.
- Perform factual and legal research.
- Investigate and assemble facts and other data for legal matters.
- Perform legal research on Westlaw and other reference materials; conduct additional factual research on internet sources.
- Input, retrieve, and manage electronic documents on department drives and software programs.
- Proofread and edit documents.
- Summarize voluminous records when necessary.
- Analyze and compile data into forms required by attorneys (e.g., charts).
- Become knowledgeable about issues in litigation and other files assigned.
- Draft status reports related to litigation matters and maintain up‑to‑date information.
- Participate in storm restoration training and efforts.
- Paralegal degree/certificate and/or bachelor’s degree.

Minimum Experience Required- Paralegal I: 0–5 years of work experience.
- Paralegal II: 5 years of work experience.
- Preferred: at least two years of experience at a law firm.
- Experience with all stages of litigation, including intake, discovery, trial and appeal.
- Experience preparing for and attending trials, arbitrations and hearings.
- Experience coordinating trial and arbitration logistics (negotiate workspace, set up remote office space, coordinate vendors).
- Experience with court and administrative agency filings, including electronic filings.
- Advanced skills in Microsoft Office:
Word, Excel, Outlook, PowerPoint, and Summation. - Experience using e‑discovery databases (Summation, etc.) preferred.
- Experience using litigation support software (e.g., Trial Director, Trial Director Notebook) preferred.
- Excellent written and oral communication skills; ability to communicate effectively and professionally.
- Strong problem‑solving skills and ability to multi‑task and work productively as part of a multidisciplinary team.
- Ability to work quickly and accurately under deadlines and pressure.
- Strong sense of accountability and attention to detail.
- Excellent organizational skills and ability to manage multiple projects with changing priorities.
- Demonstrated research, writing, editing and oral presentation skills; experience with complex data systems.
- Proficiency using Lexis Nexis, Westlaw and Adobe Acrobat in a legal setting.
- Ability to work with others at all levels.
- Maintain confidentiality of departmental issues.
- Regular and reliable attendance.
- Assignments may include overtime and/or weekend hours.
- Perform work outside these duties for storm restoration or other emergency events.
