Peter W. Evans Attorney at Law, LLC is a small private law firm handling defense of criminal cases assigned by the Public Defense System of the State of Maine. We manage cases primarily in Cumberland and York counties, helping clients navigate and negotiate the criminal justice system, seeking fair resolutions and often exonerating folks who are wrongly or overcharged.

We are seeking a motivated and passionate administrative assistant to support one defense attorney in the litigation of Maine Public Defense Service assigned criminal cases. Are you naturally organized and enthusiastic about participating in the important work of our legal system? We welcome someone who enjoys working as part of a team, and is interested in supporting the defense of individuals charged with crimes.
The ideal candidate will be a proactive self-starter, comfortable working independently, but great at communicating with our attorney, highly proficient with technology and has a genuine interest in helping people.
Job Description JOB PURPOSE
The purpose of this position is to assist one defense attorney by providing administrative support for court appointed criminal cases. Maintains accurate data entry records and evidence retention systems. Requires extensive electronic data, case and schedule management to create an accurate case file, record of proceedings, and client communications. This position is part time, approximately 20 hours per week.
QUALIFICATIONSHigh school diploma or equivalent;
Associate's Degree in legal administration or business preferred. One to two years of related work experience, preferably in a law environment or other busy office. Ability to communicate effectively both written and verbally. Possess a strong work commitment and be a team player. Exceptional customer service. Courtesy, dependability, good judgement and possess a high ethical standard all of which are required.
Ability to work productively and cooperatively with supervisors, employees and external customers.
- Review and organize all incoming case information, calendaring all dates, organizing materials by client and by case, notify clients of upcoming dates, start process of identifying conflicts of appearance, and communicate all incoming information to defense attorney.
- Create client files for court appointments obtained by utilizing the electronic delivery application(s), emails, or other sources.
- Maintain accurate client files including but not limited to court notices and filings, emails and physical daily mail. Manage the electronic storage of digital discovery materials according to office retention policy.
- Communicate with clients by phone, text, and email, to ensure they are up to date with case progress, including sending all relevant case information to incarcerated clients.
- Initiate and maintain contact with clients by phone or written communication. Provide clients with information and assistance throughout the duration of the case as required by statute, including but not limited to review of discovery information, notification of hearings, and other important dates.
- Prepare drafts of regular filings for attorney review and electronically file/submit final filings to courts utilizing the electronic delivery systems for each court.
- Receive, organize and compile discovery in all criminal matters and provide discovery to clients for review.
- Contribute to team efforts by accomplishing related results as needed.
- Handles work in a confidential and sensitive manner when dealing with cases.
We are a busy but fun small legal office located in Portland. Office atmosphere is casual and funin the office while still professional with clients and the courts. Schedule can be flexible, some remote work possible. The ideal candidate will be someone who is naturally organized, genuinely likes helping people, and enjoys learning new things every day.
Schedule and PayYear Round, 16 - 30 hours per week, generally 4 hours/day 5 days per week, depending on case load.
Hourly Rate $22.25 / hour
