Position: Senior Executive Assistant (remote)
Executive Partnership & Priority Management

Serve as a trusted partner to the attorney by helping manage priorities, commitments, information flow, and follow-through.

Manage and strategically prioritize the attorney’s inbox, distinguishing between matters requiring immediate attention, items that can be delegated, and matters you can resolve independently.

Own and protect a complex executive calendar involving leadership meetings, client consultations, court-related commitments, travel, strategic initiatives, and personal priorities as appropriate.

Evaluate meeting requests and scheduling demands based on urgency, importance, and alignment with the attorney’s priorities.

Prepare the attorney for meetings with concise agendas, relevant background information, documents, decisions needed, and outstanding action items.

Track commitments and decisions made by the attorney and proactively drive follow-through with the appropriate team members.

Anticipate scheduling conflicts, operational bottlenecks, missed deadlines, and emerging priorities before they become problems.

Regularly assess what requires the attorney’s attention and what can be handled, delegated, or resolved without involving them.

Executive Communication & Relationship Management

Act as a professional extension of the attorney when communicating with clients, employees, vendors, professional partners, and other stakeholders.

Draft and edit executive-level correspondence, internal communications, client communications, meeting materials, and other documents.

Communicate with professionalism, confidence, discretion, and excellent judgment.

Ensure important communications receive timely responses and appropriate follow-up.

Provide the attorney with concise summaries of issues rather than simply forwarding information.

Escalate legal, client-risk, financial, personnel, or high-impact matters promptly, providing organized context and clearly identifying what decision or action is needed.

Build strong working relationships across the organization to help leadership initiatives move forward.

Operations, Systems & Process Improvement

Develop and maintain executive dashboards, trackers, templates, checklists, and workflows that improve visibility and accountability.

Identify inefficient processes and recommend practical improvements.

Help create repeatable systems that allow the attorney and firm to operate more efficiently as the organization grows.

Organize confidential records, executive documents, and critical information so they are accurate, accessible, and secure.

Maintain visibility over recurring responsibilities, deadlines, meetings, and leadership priorities.

Partner with departments across the firm to ensure leadership decisions translate into execution.

Execution, Accountability & Follow-Through

Maintain visibility over the attorney’s key commitments, projects, deadlines, and strategic priorities.

Convert meetings and conversations into clear action items, owners, and deadlines.

Follow up with team members on behalf of the attorney and ensure commitments are completed.

Identify stalled projects or unresolved issues and proactively move them toward resolution.

Maintain an effective system for tracking delegated responsibilities without requiring the attorney to repeatedly check their status.

Take ownership of routine decisions and administrative matters within established parameters.

What Success Looks Like

Success in this position means the attorney does not have to personally keep track of everything.

The attorney's calendar reflects their highest priorities rather than simply the order in which requests arrive.

Important emails, decisions, deadlines, and commitments do not fall through the cracks.
