Overview

As our Shipping Administrator, you will play a key role in keeping post-shipment processes running smoothly and ensuring customers are well taken care of. You will manage the export shipping process for customer orders, assist with transport claims to recover lost or damaged goods, and support customs clearance activities. You will regularly audit brokers to ensure adherence to standard operating procedures.

This role is based in our South Charlotte office with a hybrid schedule (three days in the office and two days from home). You will be part of a team of five transportation professionals, collaborating to make our shipping process seamless.

Responsibilities
  • Create shipments and schedule pickups with freight forwarders or the customer’s forwarder based on directions and incoterms.
  • Create required export documents for international orders as needed, including but not limited to SLIs, Certificate of Conformance, Certificate of Origin.
  • Work with suppliers and the purchasing department to obtain annual USMCA certificates for import and export.
  • Resolve requests/tickets from internal and external customers and stakeholders regarding shipment status and clearance.
  • Reroute shipments with LTL and small parcel carriers as needed or upon customer request.
  • Schedule return pickups with LTL/parcel carriers on parts being returned.
  • Coordinate with LTL carriers and customers on shipments needing more information to complete delivery or OS&D issues.
  • Coordinate freight claims on LTL and parcel shipments with carriers, forwarders, and insurance providers; provide monthly updates on claim KPIs to key stakeholders.
  • Document workflows and update existing working instructions as needed.
  • Resolve requests from customs brokers by providing necessary information to expedite customs clearance.
  • Provide daily, weekly, and monthly reporting on established KPIs and liaise between external parties to gather needed information for uploading within Power BI or other tools as needed.
  • Act as a back-up to support other team members when needed.
  • Perform other duties as assigned.
Qualifications
  • 1-2 years’ experience in transportation, logistics, or supply chain is a plus.
  • Familiarity with import/export processes and incoterms is a plus.
  • Proficiency in Microsoft Office:
    Excel, Word, PowerPoint.
  • Experience with SAP S/4

    Hana or other similar ERP systems is a plus.
  • Existing knowledge of US customs procedures and regulations is a plus.
  • Bachelor’s degree in business, supply chain, or related field (or equivalent work experience).
  • Well organized, detail-oriented, and able to work independently to drive business results.
  • Excellent written and verbal communication skills.
  • High energy level and ability to handle multiple tasks or projects in a fast-paced environment.
  • Ability to quickly learn new processes and systems and suggest/implement improvement opportunities.
