Job Summary
Under general supervision, responsible for the creation, maintenance and accuracy of inventory purchasing records in order to ensure adequate levels. Procures non-inventory goods and services as contracted by the Purchasing Department.
ResponsibilitiesCore Duties
- Create purchase orders for supplies and services for multiple health‑system facilities.
- Place orders, follow up, and acknowledge receipt of orders at the vendor to ensure timely shipment of supplies.
- Work closely with Accounts Payable and Receiving to ensure purchase orders are accurately keyed and received for timely invoice payment.

- Demonstrate basic knowledge of supply chain and procurement processes.
- Communicate effectively with departments, vendors, and sales reps to ensure timely placement of purchase orders.
- Multitask in a fast‑paced environment with little oversight.
Purchasing for the Hospital and Its Affiliates
Consistently obtains the best product at the best price. Considers contract parameters and keeps current awareness of laws, regulations, and new developments affecting products and services. Orders non‑inventory items via purchase orders to maintain adequate hospital supplies. Inputs appropriate information into the computer system for accurate departmental records. Places weekly orders for standard hospital forms and follows established protocols for each order type and prioritization.
Works with Accounts Payable to resolve invoice variances using contracts and contracting vendors. Generates reports and cost analyses to provide timely and accurate information. Assigns appropriate general ledger account numbers based on established guidelines. Performs related duties to support departmental goals. Meets with sales representatives, researches products, selects vendor supply sources, and communicates effectively. Reviews requisitions for correct data, verifies prices, and ensures proper authorization before ordering.
Places orders within established timeframe for routine and stat orders. Uses e‑commerce when appropriate. Confirms backorders and returns, and follows up as necessary. Applies good judgment regarding purchasing group contracts. Meets department managers' information needs regarding purchasing issues, and is regarded as responsive and knowledgeable.
- 1 year in procurement or a related field; a Bachelor’s degree is considered in lieu of experience.
Standing, sitting, and outdoor work as required.
EducationHigh School Diploma or GED required. A Bachelor's degree in a related field preferred; considered in lieu of experience.
