Purchasing Agent

Based in our Spindale, NC home office, the Purchasing Agent manages purchase orders, subcontract agreements, and vendor relationships to ensure timely, cost-effective acquisition of materials, tools, and equipment for our commercial and industrial projects. The ideal candidate has construction purchasing experience and proficiency with Kojo and Sage. This role offers strong growth potential, with an entry-level path for candidates building a long-term career in procurement.

Key Responsibilities

Purchase Order & Procurement Management

• Issue and process 5–20 POs daily (Kojo, rental, online orders, call-ins) and handle miscellaneous purchases for the warehouse and mechanics
• Source, negotiate, and purchase materials, equipment, and tools from approved vendors, including specialty or out-of-stock items
• Verify vendor pricing and cost codes in Kojo and Sage; track credit card receipts
• Follow up on order status, price-check high-cost items, and resolve order or delivery issues

Subcontract Administration

• Prepare, issue, and track subcontracts and change orders; verify COIs and W-9s before execution
• Maintain contract records in Procore and the subcontract tracking spreadsheet, following up on outstanding documents
• Coordinate with project managers and accounting on contract execution and payment processing

Cost Tracking, Reporting & Vendor Coordination

• Maintain the pricing spreadsheet and vendor quotes; verify pricing accuracy and resolve discrepancies
• Collaborate with Accounting on cost coding and budget tracking in Sage
• Enter orders into the Teams Code Red Report and send weekly updates; generate reports on purchasing trends and vendor performance
• Coordinate with field teams and project managers on delivery schedules, material substitutions, shortages, and delays

Minimum Requirements

• Experience: 2+ years in purchasing or procurement; construction industry preferred but not required
• Software: Kojo, Sage, Procore, Teams, and Excel
• Skills: Strong attention to detail, negotiation, and follow-up; able to troubleshoot order issues and manage multiple priorities in a fast-paced environment

Preferred Qualifications

• Familiarity with electrical construction materials
• Experience in electrical contracting or construction procurement/subcontract management
• Experience working with subcontractor compliance requirements (COI, W-9s, etc.)
• Background in accounts payable or finance-related tasks is a plus
