POSITION OVERVIEW The Operations Specialist provides daily operational support to the Commercial Fuels department. This role works closely with Purchasing, Dispatch, Billing, Sales, suppliers, and haulers to help ensure loads are sourced, lifted, billed, and documented correctly. The position is focused on completing time-sensitive tasks, resolving operational issues, maintaining accurate system information, and supporting cost-saving and business-growth opportunities. Leadership Training ESSENTIAL JOB FUNCTIONS Maintain accurate supplier, terminal, contract, carrier, and pricing information within company systems.
Help ensure pricing feeds and back-office systems are linked correctly to support purchasing decisions and historical pricing analysis.
Accessorial Charges and General Support Review split-load fees, detention, rerouting charges, rejected-load costs, and other accessorial expenses.
Work with internal departments to determine whether charges should be absorbed, billed to the customer, or charged back to a hauler.
Support special projects, operational audits, process documentation, and other department priorities as assigned.
Decision-Making and Problem-Solving The Operations Specialist is expected to independently complete assigned tasks, research discrepancies, communicate with the appropriate parties, and follow issues through resolution.
Routine operational matters may be handled within established procedures. Pricing decisions, contractual interpretations, major customer issues, and significant financial adjustments should be escalated to the Commercial Fuels Manager.
Qualifications:
High school diploma or equivalent required.
Associate or bachelor’s degree in business, logistics, supply chain, accounting, finance, or a related field preferred.
Prior experience in operations, logistics, dispatch, purchasing, billing, transportation, or administrative support preferred.
Fuel-distribution, terminal, or wholesale-industry experience is preferred but not required.

Ability to work quickly while maintaining accuracy.
Basic understanding of pricing, freight, billing, and margin calculations.
Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications.
Ability to learn fuel-management, dispatch, pricing, and back-office systems.
Strong sense of urgency, accountability, and ownership.

Working Conditions:
This is primarily an office-based position requiring frequent computer and telephone use. The role must be able to manage shifting priorities, interruptions, supplier deadlines, transportation issues, and other time-sensitive operational needs.
