Job Description – Maintenance Planning Specialist

Primary Function:
Responsible for holding the productivity of Technicians to World Class levels by effectively planning and scheduling manpower, parts, and materials needed for proactive projects on production related equipment.

Duties and Responsibilities:

  • Maintains backlog of planned and unplanned jobs in Computerized Maintenance Management System (CMMS).
  • Considers safety procedures when planning and scheduling work and includes where necessary into job plans.
  • Develops weekly work schedule for PM’s and planned work from work order backlog in coordination with Operations and Lead Technician. Additionally, assists Lead Technician in the development of the daily work schedule.
  • Drives weekly meeting between Operations, Engineering, and Maintenance Manager and team for scheduling of workload and prioritization of planned work and preventative maintenance.
  • Participates in the creation of PM’s, ensures the team enters PM’s into CMMS, and maintains existing PM’s/Pd.M.’s for equipment reliability.
  • Trains associates in the use of CMMS maintenance module (performs CMMS “Super User” role).
  • Ensures equipment BOM’s are accurate and updates, as necessary. Completes initial spare part quoting and request of spare part setup on new equipment with Maintenance team support.
  • Develops and maintains equipment entity structure in CMMS.
  • Provides necessary OEE data for OEE Calculation in areas of responsibility.
  • Handles Emergency Spare Parts Deliveries; expedites when line is down (Same Day Air, Next Day Air, etc.).
  • Ensures proper resources are alerted and scheduled as required.
  • Participates in maintenance improvement initiatives.
  • Receives all work notifications and screens them for proper information including work scope, realistic priority, realistic requested completion date, accurate entity assignment. Routinely adjusts (cleans) notification backlog by rejecting/deleting notifications that do not meet the required acceptance criteria. As a minimum, this is to occur monthly, with a follow up e‑mail to the originator.
  • Participates in training, maintenance and upgrading of maintenance systems.
  • Assists Engineering with new equipment installations in compliance with Plant Specifications, getting appropriate spare parts set up.
  • Estimates job requirements in manpower, specialized tools, materials, and resources and develops work plan with Lead Technician. Focuses on best use of time and resources.
  • Actively participates with Yearly Budget Process (i.e., Business Planning).
  • Collects Maintenance cost (material & labor), Downtime, and Equipment Availability monthly. Reviews for trends with Maintenance Supervisor and Lead Tech. Also tracks availability losses, capacity analysis, actual hours by type, schedule compliance, OEE, job, completed by type, and over time.
  • Generates and post necessary maintenance metric graphs. Where applicable, updates electronic Maintenance MDI boards as required.
  • Obtains technical information such as blueprints, instruction manuals, drawings, tolerances etc., to be used for work planning. Identifies, obtains, and packages materials for planned work including parts, materials, documentation, and special instructions.

Required Education

  • 2-year technical degree or higher preferred in Industrial Technology, Electricity or one of the engineering disciplines.

Required Experience

  • Background of 1-3 years in the skilled trades.
