Senior Meetings Manager – Society for Gynecologic Oncology Job Overview
The SGO currently has an extraordinary opportunity for a meetings-centered self-starter to join the team as the Senior Meetings Manager role. We are looking for an individual to bring their passion and excitement to our fast-paced and ever-changing environment. The successful incumbent will be highly detail orientated, organized, and collaborative while managing multiple projects simultaneously. They will see the big picture and embrace change to ensure they meet their goals and the goals of the SGO and FWC.
The Senior Meetings Manager is a strategic leader responsible for the end-to-end management of meetings and events. This role oversees planning, logistics, budgeting, and vendor coordination for multiple high-profile programs. This individual will lead the planning, logistics, budgeting, and vendor coordination of the Allied Health, Winter and Annual Meetings. Additionally, they drive process improvements, mentor team members, and lead cross-departmental collaboration to achieve organizational goals.

- Independently manage the full lifecycle of assigned meetings (Allied Health, Winter, and Annual Meeting). Develop comprehensive timelines, allocate resources, and lead cross-functional teams from concept through post-event evaluation. Engage with volunteer and staff leaders to ensure alignment of meeting objectives with organizational priorities.
- Direct all logistical components including venue sourcing and contract negotiation; hotel room block and housing management; registration systems and attendee experience; food and beverage planning; audiovisual production; ground transportation and security; and on-site execution and contingency planning, Ensure logistics align with program goals and meet professional standards.
- Source, negotiate, and manage vendor relationships (A/V, DMCs, registration and housing, production). Draft scopes of work, monitor performance, and enforce accountability to contract terms. Drive cost efficiencies while ensuring quality and timely delivery.
- Develop and maintain detailed project plans and calendars. Lead internal and external planning calls, assign responsibilities, and monitor progress. Proactively identify risks and implement mitigation strategies.
- Document all meeting processes and decisions for organizational continuity. Identify and implement enhancements to improve efficiency, attendee experience, and cost savings. Contribute to SOP development and best practices for the meetings team.
- Execute work and manage projects with integrity and professionalism; understand when to and delegate work to optimize efficiencies; be an innovative problem-solver; be technically agile and adept; influence through executive presence; exercise expert project management skills; be detail centric; and demonstrate superior organization skills that enable the ability to manage multiple priorities simultaneously.
The work of the SGO is conducted primarily in a remote office environment with occasional requirements to be onsite for group meetings and events. Travel is required approximately 10-20 days per year.
Compensation and BenefitsWe offer competitive salaries commensurate with experience. The hiring range for this position is $80,000 - $90,000. SGO is a remote work environment. Benefit offerings include medical, dental, vision, and short- and long-term disability benefits; vacation time, sick time, 11 named holidays and 3 floating holidays, and parental leave.
Requirements for Success- 7+ years of progressive experience in meetings management, preferably in medical association meetings
- Bachelor’s degree or equivalent experience.
- Certified Meeting Professional (CMP) or equivalent strongly preferred
- Demonstrated success in managing complex meetings and leading teams.
- Exceptional communication skills with meticulous attention to detail.
- Experience in non-profit management and working with volunteer leadership.
- Advanced project management expertise with ability to manage multiple priorities.
- Proficiency in AMS and event management software.
- Strong command of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
