The Claims Manager oversees, guides, and develops the administrative team responsible for collecting, validating, and submitting workers’ compensation, general liability and auto accident claims to the insurance carrier/TPA, and for tracking claim status through resolution. This leader drives operational accuracy, cycle-time improvement, and regulatory compliance while partnering with Safety, HR, Store Operations, and Legal to reduce claim frequency and severity across the company.
Key accountabilities include leadership, support, and coaching to ensure compliance of regulatory and statutory requirements, and technical and customer service best practices. In addition, this role participates in the recruiting, hiring, and training of new employees and approves timecards, administers performance reviews, and applies disciplinary measures as appropriate, all while coaching and developing their employees to be successful at Chadwell Supply.
you will need
- A high school diploma or GED is required.
- At least 2 years in a supervisory or team lead role.
- Working knowledge of WC and auto claim processes, jurisdictional nuances, OSHA recordkeeping inputs, RTW practices, and carrier/TPA workflows.
- Strong judgment, organization, and follow-through; excellent written and verbal communication skills.
- Working knowledge of Excel and other MS platforms
- Ability to effectively lead change.
- Lead, coach, and develop a high-performing claims administration team; set clear goals, and provide ongoing training, feedback, and career development.
- Own end-to-end administrative processes for WC, GL and auto claims—from first notice of loss (FNOL) intake to carrier/TPA submission, ongoing status tracking, documentation, and closure.
- Ensure timely, accurate and complete claim initiation, supporting documentation collection (incident reports, witness statements, medical notes, police reports, photos/video), and submission to carrier/TPA.
- Coach and counsel employees on performance in a responsive and timely manner.
- Maintain standard operating procedures (SOPs).
- Create and maintain job aids, and QA checklists to ensure consistent, accurate claim handling and data integrity.
- Identify and elevate potential red flags (late reporting, subrogation opportunities, possible fraud) to the appropriate stakeholders.
- Ensure the team monitors claim progress and adjuster communications; and escalates all concerns to the appropriate level for review and follow-up.
- Proactively follow up on lagging reserves, return-to-work options, and litigation status, ensuring timely and proper notifications and action at the appropriate level.
- Coordinate with Safety and HR on transitional duty/RTW plans and with Operations on incident remediation.
- Track medical bill review, indemnity payments, and vendor utilization; support subrogation and recovery efforts (e.g., third-party at-fault auto incidents).
- Ensure adherence to federal and state WC regulations, reporting requirements, privacy/PHI handling, and record retention policies; support OSHA recordkeeping inputs and DOT incident documentation as applicable.
- Conduct regular audits and review of claims files and reports.
- Ensure the team monitors and audits compliance Tracker Dashboards for completeness and accuracy.
- Partner with the Safety Team to identify trends and opportunities to reduce frequency and severity of accidents and improve safety.
- Partner with the Safety Team to formulate and conduct training sessions for supervisors and managers on injury reporting procedures, claims documentation, and return to work processes.
- Collaborate cross-functionally with Safety, HR, Payroll, Legal, and Branch/Field Operations to resolve issues and prevent reoccurrence.
- Able to handle confidential information with discretion and only providing it to approved personnel with a business need to know.
