Chancellor's Residence and Events Manager
Reporting to the Director of Ceremonies and Special Events, the Chancellor's Residence Manager provides support in three primary functions: coordination of events, residence management, and providing support to the Chancellor and Associate of the Chancellor as needed. Events may be high-profile, confidential in nature and include external stakeholders. Events are planned on behalf of and for the University, alumni and donor communities, philanthropic and academic leaders.
Serves as the key liaison with the Chancellor's Office and assists with confirming residence availability and dates for events. Prepares event briefings for the Chancellor and Associate to the Chancellor for events and activities at the Chancellor's Residence. Ensures that the residence is ready for all types of activities and events, scheduled and unscheduled. This position will also supervise and oversees the Residence Caretaker.
The duties of this position require you to be on-site for all events at the Chancellor's Residence as well as serve as the primary contact for any after-hours emergencies and/or other needs at the Chancellor's Residence. The ability to report to work in the case of an emergency is essential to fulfilling the duties of this job. Guaranteed response time to emergencies, during and after work hours, can be no greater than one hour.
If unable to respond within the time frame allotted, the residence manager must notify the Director and/or the Associate Chancellor immediately.

Minimum Qualifications

- Required to hold a valid California driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program
- Bachelor's degree or related experience.
- Five (5) or more years of event planning experience planning, coordinating and managing large complex events in a large institutional setting, OR A bachelor's degree or higher and three (3) years of related experience.
- Knowledge of project management principles, event logistics, budgeting, scheduling, risk management, and resource allocation.
- Knowledge of university governance, executive protocols, donor relations, and organizational dynamics.
- Ability to mentor, train, and foster collaboration with different stakeholders.
- Knowledge of financial management, procurement procedures, contract administration, and university policies.
- Knowledge of professional communication practices, event contingency planning, and issue resolution strategies including those directed to executive leadership and other VIPs.
Preferred Qualifications
- Certified Meeting Planner, (CMP)
Certified Meeting Manager, (CMM) - Bachelor's degree or higher in an event/hospitality related field.
- Knowledge of UC Davis software systems (i.e., Constant Contact, Aggie Budget, Aggie TravelKFS).
- PMP Certification

Department Overview
Ceremonies and Special Events plans high level and forward-facing events on behalf of the Chancellor, Provost and other members of the Chancellors Leadership Council. Events may be planned for the University community, alumni, and philanthropic, governmental, corporate, cultural, diplomatic and academic leaders. In collaboration with various university clients, manages from design to implementation annual and one-time events.
