The DES, Division of Child Support Services (DCSS) is seeking an experienced and highly motivated individual to join our team as an Executive Staff Assistant, reporting to the Assistant Director (AD). This position is responsible for providing technical assistance and administrative expertise to the DCSS AD and Program Administrators.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

Essential Duties and Responsibilities include, but are not limited to:

  • Collaborate with the AD to develop and implement strategies to ensure efficient operations.
  • Consult with and guide Program Administrators regarding program goals, objectives, accountability, and quality.
  • Manage, review and oversee the work of staff in the office of the Assistant Director, to include the indirect reporting of the Executive Correspondence Unit (ECU) and administrative professionals.
  • Serve as the DCCS Correspondence Control Liaison; handle high-level complaints in a timely manner.
  • Initiate reports, projects, formal recommendations and solutions for problems related to personnel management, operations, policies, procedures, budget development and control and organizational planning.
  • Develop monitoring methods and procedures to assure timely and accurate program compliance to inquiries and responses. Gather data for reports and presentations representing the goals and achievements of DCSS.
  • Prepare and coordinate meetings.
  • Review and approve the Division AD actions items on behalf of AD. Investigate, research, and prepare AD administrative decisions.
  • Represent the AD and/or Division in meetings with internal/external stakeholders.
Knowledge, Skills & Abilities (KSAs):

Knowledge in:

  • Federal and State laws, rules, and regulations in the child support program.
  • Internal organization, management, business and public administration practices.
  • Meeting preparation, effective organization and management practices, drafting and reviewing documents.

Skills in:

  • Management and staff supervision; leadership principles and mentoring skills to ensure future staff growth and development.
  • Process improvement and process streamlining.
  • Effective oral and written communication.

Ability to:

  • Identify and resolve issues.
  • Review and evaluate program activities analytically and develop effective work plans and methods for improvement.
  • Establish and maintain effective working relationships.
Selective Preference(s):

The ideal candidate for this position will have:

  • Minimum of three (3) years of progressively responsible management and leadership experience with a background in the development and implementation of improved business practices.
  • Background in Health and Human Services with case management experience.
  • Valid Arizona Drivers License.
