Role Overview
ModuleMD is looking for an experienced Event Marketing professional to lead and manage our US-focused trade shows, conferences, webinars, and other offline marketing initiatives.
This person will lead trade show participation end-to-end from research and vendor negotiation to on-ground execution and budgeting — while also supporting webinars and broader marketing initiatives. It's a hands-on role for someone who's equally comfortable with spreadsheets, vendor calls, and a design tool.

Purpose:
What You’ll Be Doing
1. Trade Shows & Event Management
- Research, evaluate, and shortlist relevant US healthcare, medical, healthcare IT, and medical device trade shows and conferences.
- Develop and maintain an annual event calendar aligned with ModuleMD's business and marketing objectives.
- Coordinate with the US team to finalize event participation based on target audience, business opportunity, visibility, and expected lead quality.
- Manage the end-to-end execution of trade shows and conferences, including:
- Booth selection and setup
- Booth design and branding
- Event registration
- Logistics and shipping
- Promotional materials
- AV and technology requirements
- Travel and accommodation coordination
- On-site coordination
- Lead collection
- Post-event activities
- Coordinate with US team members attending events and ensure they have all required materials and information.
- Ensure all event activities are completed within agreed timelines.
2. Vendor Management
- Identify, evaluate, onboard, and manage event-related vendors, including:
- Booth builders
- Printing agencies
- AV providers
- Event organizers
- Promotional merchandise vendors
- Logistics and shipping partners
- Travel and accommodation vendors
- Negotiate pricing, contracts, and service terms to ensure the best value for the company.
- Maintain strong vendor relationships while ensuring quality and timely delivery.
- Monitor vendor performance and resolve event-related issues promptly.
3. Budgeting & Cost Management
- Own and manage the budget for trade shows, conferences, webinars, and other offline marketing activities.
- Prepare event-wise budgets and obtain necessary approvals.
- Track actual expenses against approved budgets.
- Identify and communicate budget variances proactively.
- Negotiate with vendors to optimize event costs without compromising quality.
- Prepare post-event expenditure reports and ROI analysis.
4. Event Strategy & Planning
- Develop an event marketing strategy focused on US healthcare providers, medical practices, healthcare organizations, and other relevant target audiences.
- Evaluate events based on:
- Target audience
- Attendance
- Industry relevance
- Sponsorship opportunities
- Lead-generation potential
- Brand visibility
- Historical ROI
- Recommend which events ModuleMD should participate in and the appropriate level of participation.
- Identify opportunities to improve lead quality, brand visibility, and event ROI.
5. Webinars & Virtual Events
- Plan and coordinate webinars with the US Marketing and Business Development teams.
- Manage webinar scheduling, registrations, speaker coordination, technical requirements, reminders, and follow-ups.
- Coordinate webinar platforms such as Zoom and similar tools.
- Support post-webinar activities, including lead sharing, follow-ups, recordings, and reporting.
- Coordinate webinar content and promotional activities.
6. Content & Creative Support
- Coordinate the development of event-related marketing materials, including:
- Booth graphics
- Flyers
- Brochures
- Presentations
- Event invitations
- Email campaigns
- Promotional materials
- Having hands-on working knowledge on Canva will be a Plus.
- Experience with Figma or similar design tools is a Plus
- Basic video editing skills for event recaps, webinar clips, social media content, and promotional videos will be an added advantage.
7. Lead Management & Post-Event Activities
- Ensure leads generated from events are properly captured, categorized, and shared with the relevant US teams.
- Coordinate with Business Development and Sales teams for timely lead follow-up.
- Track event-generated leads through the agreed process.
- Prepare post-event reports covering:
- Number of attendees/leads
- Lead quality
- Opportunities generated
- Event expenditure
- Cost per lead
