The duties and responsibilities of the Field Marketing Coordinator center on planning and managing in-person events of varying sizes and purposes to support our New York, Mid-Atlantic, and Southeast sales teams. (In-person events in NYC, Baltimore, Washington D.C., NJ, PA, NC/SC) The person in this role must ensure that all event logistics are organized and detailed, manage expenses within the allocated budget, secure marketing development funding, and ensure that all events are executed smoothly.
The following are essential duties and responsibilities for the role:
- Attending and planning in-person events, including but not limited to budgeting, seating and a/v details, food options, check-in, registration tracking, logistics, partner funding, and other relevant event information.
- Performing pre-site visits of venues if needed for events such as lead-gen lunch events, sporting events, internal quarterly sales meetings, customer events, and more.
- Establishing and maintaining relationships with vendors and venues.
- Must be very detail-oriented, organized, and able to take on multiple events at one time.
- Responsible for gathering and formatting slide decks for in-person events.
- Scheduling speakers for planning and preparation calls, creating calendar invites, sending event logistic summaries for multiple events at once, and keeping our internal calendar up to date.
- Requesting and tracking Market Development Funds (MDF) with multiple partners.
- Must be able to create event registration pages (including the copy, titles, and more) and keep track of attendance, budget, and more.
- Experience with Microsoft Dynamics or similar customer relationship management (CRM) system is a plus. The role includes tracking all event details and attendees in this system.
- Planning for potential scenarios that could impact the integrity of the event, being aware of things that could change, and knowing how to manage them.
Must be able to network with a wide variety of personnel and contacts in the course of performing the job. Vendors and venues must be established in addition to maintaining relationships with all marketing partner contacts. The Field Marketing Coordinator will need to have a general knowledge of what guests expect, be willing to learn how our events have succeeded in the past and recommend ways to improve upon future events.
TeamManagement
A major aspect of the job is working with a team, including the event speakers, Account Executives, and the Business Development Representatives (BDRs) who assist with attendee list management and check-in. Delegating to this team properly and managing their logistics is of paramount importance to this job. Making sure everyone has what they need to succeed requires strong communication skills and team management.
BudgetingThere is an associated cost to every event, and the Field Marketing Coordinator will need to keep those costs within the allocated budget. This will require a degree of financial skill as well as the ability to create accurate reports. Must have experience with managing and requesting Market Development Funds (MDF).
LogisticsEverything involved in an event, from the seating to the entertainment, from the speakers to the attendees, must be set up in a detail-oriented manner. To accomplish this, this candidate must possess a degree of skill in event logistics to properly plan and execute the event. Strong organizational skills are a requirement for this position.
Job Requirements- Bachelor’s degree or equivalent.
- 3-5 or more years of experience relating to the above responsibilities.
- Excellent communication, organization, presentation, and interpersonal skills.
- Solid computer application skills, such as Word, Excel, PowerPoint, Outlook, and Microsoft Dynamics. (Dynamics is not required, but a plus)
- Platform experience such as Eventbrite and Zoom.
- Detail-oriented, with the ability to manage multiple tasks and meet deadlines.
- Strong initiative, proactive and willing to take ownership of projects from start to finish.
- May require 30% travel to events for on-site facilitation.
- Strong verbal and written communication skills.
- Experience in the Information Technology industry, including knowledge of Dell Technologies, Nutanix, Arctic Wolf, and other leading vendors would be a plus.
