Job SummaryThe mission of the Office of Youth Ministry is to equip leaders with the necessary tools, training, formation, and events in order that all young people hear the Gospel message and be empowered to live as disciples of Jesus Christ in our parishes and in our world.
The Coordinator of Events plays a key ministerial and administrative role overseeing the planning, execution, and reconciliation of major youth ministry events. Working collaboratively as a member of the Office of Youth Ministry team, this position applies strong organizational and analytical skills to ensure events are strategically coordinated and grounded in pastoral care and hospitality. The coordinator serves as Conference Director for Steubenville STL Mid-America 1 & 2 and provides shared leadership in the hiring, training, and supervision of 2–4 summer interns.
Job ResponsibilitiesThe Coordinator of Events coordinates the logistical and administrative operations for Office of Youth Ministry events—including Steubenville STL Mid-America, Summit, trainings, and other initiatives—serving events that range from 25 to 5,000 participants.
Responsibilities include:
- Lead event logistics including timelines, contracts, vendors, registrations, housing, and on-site execution
- Assist in developing and managing event budgets exceeding $1.5 million
- Solicit and coordinate bids for major contracted goods and services
- Manage financial and event records, including invoicing, expense tracking, post-event reconciliation, and the maintenance, storage, and archiving of digital and physical event records
- Use Quick Books to process 750+ invoices and track 10,000+ registrations, payments, housing, and group data
- Support coordination of 150+ volunteers, ensure Safe Environment compliance, and assist in supervising and mentoring 2–4 summer interns
- Collaborate with OYM staff, and external partners to ensure smooth event planning and execution
- Support event promotion and communication with group leaders
- Assist with additional administrative and operational duties as assigned
- Bachelor’s degree required; preferred fields include theology, youth ministry, education, event planning or management
- Minimum of five years of youth ministry experience
- Previous experience coordinating large-scale events or complex projects
- Strong working knowledge of Microsoft Office and general PC skills
- Working knowledge of Quick Books or comparable accounting software
- Excellent organizational, administrative, and communication skills
- Ability to collaborate effectively in a team-based ministry environment
- Practicing Catholic in good standing with Church teaching.
- Strong heart for youth and the mission of the Church
- Excellent written and oral communication skills
- Self-motivated, trustworthy, detail-oriented, and a responsible stewards of Archdiocesan resources
- Ability to plan proactively, manage multiple priorities, and meet deadlines
- Comfortable supervising interns and mobilizing volunteers
- Able to work occasional extended hours, including overnights and weekends, and manage high-pressure periods leading up to and at major events
- Willing to travel locally and outside the archdiocese, to parishes, schools, and youth ministry events.
