Position Summary

The Outreach and Recruitment Specialist is responsible for ensuring their assigned Job Train career track(s) meet enrollment targets for each cohort in a timely manner. The coordinator conducts research to identify sources for students who fit Job Train’s target clients, participates in outreach events to inform potential students of Job Train’s offerings, and then works with clients to support them throughout the registration process.

The coordinator will maintain detailed records in the Job Train database for each client in order to generate reports to show progress against goals.

This position will primarily work onsite with some work from home flexibility.

Major Duties and Responsibilities
  • Conduct ongoing outreach to recruit clients for all Job Train programs and services, but with particular focus on assigned career training program(s). This will include but not be limited to:
    • Remain abreast of upcoming course start dates and plan and conduct outreach and recruitment efforts accordingly
    • Build and maintain relationships with relevant partner organizations, attending meetings as appropriate
    • Canvas and distribute flyers in assigned geographic areas as needed
    • Respond to inquiries from the public and community organizations with information and materials, as appropriate
    • Represent Job Train at outreach events, including occasional evening and weekend events
    • Seek out and participate in opportunities to promote Job Train programs and services
  • Guide and assist clients through the entire registration process for assigned career training courses. This may include (but is not limited to) the following:
    • Assist clients with completion of application (intake form) and submission of documents, as needed
    • Guide clients through the assessment process (if applicable)
    • If clients’ assessment scores are not sufficient for them to enroll in the program of their choice, direct them to available resources for increasing their knowledge and skills:
      Maintain contact with clients and partners throughout the remediation period and re‑integrate clients into the career training registration process after successful re‑assessment
    • Ensure that clients are smoothly and successfully transitioned to the appropriate Career Development Specialist after meeting all registration and assessment requirements
    • Answer additional questions or help with any aspect of the registration process as needed, collaborating effectively with appropriate Job Train staff as required
  • Maintain timely and accurate client and outreach records in Salesforce database, including notes on all contacts, ensuring all required steps are completed, all required information has been collected, and detailing specific services provided
  • Generate up to date regular / ad hoc reports to monitor and inform others on client progress and outreach activity
  • Travel to relevant events / meetings in Bay Area to complete tasks as needed
  • Assist with other administrative duties as needed, including providing breaks to the front‑desk receptionist
  • Partner with Job Train staff to provide input / feedback to document and proactively and continuously improve career development / Job Train processes.
Qualifications Experience
  • Outreach and Recruitment Coordinator 1:
    Demonstrated experience working independently in a customer service / office environment.
  • Outreach and Recruitment Coordinator 2:
    Demonstrated experience working as an outreach coordinator 1 (at least one year or relevant experience) and successfully meeting all responsibilities of role.
