Position Summary

Aloha Tree Alliance (ATA) seeks a motivated, organized, and mission-driven Operations Coordinator to support the day-to-day operations, volunteer engagement, and community coordination of the organization.

This position plays a critical role in ensuring ATA’s programs, volunteer workdays, and community partnerships operate smoothly through strong communication, thoughtful coordination, and administrative support. The Operations Coordinator will work closely with the Executive Director, core volunteers and community partners to help advance ATA’s mission and operational effectiveness.

This role is ideal for someone who enjoys organization, collaboration, and community engagement, and who is interested in building foundational experience in nonprofit operations and place-based environmental work here on O‘ahu. The Operations Coordinator reports directly to the Executive Director.

Key Responsibilities
  • Prepare and manage all communications related to Community Workdays and Aloha Friday Watering volunteer events for core volunteers.
  • Collaborate with the Field Manager to develop clear workplans for all field initiatives and share them with the internal team and core volunteers in advance.
  • Coordinate monthly organization of core volunteers, including communicating schedules, upcoming responsibilities, and event details.
  • Support on-site logistics for volunteer workdays and field initiatives as needed.
  • Manage, collect, and accurately record all volunteer participation logs and data from events.
Operations & Administrative Support
  • Schedule and coordinate core ATA events, meetings, and volunteer activities.
  • Support staff with community outreach, tabling events, and public engagement activities.
  • Provide administrative support to the Executive Director, including coordination, documentation, and follow-up tasks.
  • Assist with grant reporting, data collection, and basic operational management tasks.
  • Support organizational systems, record-keeping, and internal communications as needed.
Community Management & Partnerships
  • Map and maintain a database of community groups and organizations aligned with ATA’s mission and values.
  • Build and support relationships with key personnel within aligned community groups.
  • Coordinate with community organizations to provide volunteer support strategically aligned with ATA’s program calendar and operational needs.
  • Develop and support outreach strategies to engage diverse age groups and demographic audiences in ATA’s volunteer opportunities.
Qualifications & Skills
  • Bachelor’s degree or equivalent experience preferred.
  • 0–2 years of experience in nonprofit operations, volunteer coordination, community engagement, or a related field.
  • Strong organizational skills and attention to detail.
  • Clear written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Comfort working both independently and as part of a collaborative team.
  • Interest in environmental stewardship, community engagement, and nonprofit work.
  • Comfort working outdoors during volunteer events and in varying weather conditions.
  • Familiarity with the safe operation of outdoor power tools
  • Valid driver’s license and insurance.
  • Occasional evening or weekend hours may be required for volunteer events and community outreach.
Performance Expectations & Staff Development

Success in this role will be measured by:

  • Smooth coordination of volunteer workdays and events.
  • Strong communication with volunteers and community partners.
  • Accurate record-keeping and administrative support.
  • Effective support of ATA’s operational and outreach needs.
