Position SummaryThe Assistant Community Manager will help the Community Manager efficiently manage and successfully execute the business plan for the assigned community. The Assistant must exercise discretion and judgment in property management, including lease and supervisory leadership to achieve objectives outlined in the annual budget and company policy.
Essential Duties And Responsibilities- Review NSF and returned payment reports daily.
- Collect, deposit, and post all payments and ancillary income daily.
- Prepare and send seven‑day notices, small balance notices, and returned payment notices.
- Document all contact with residents regarding delinquent rent in property management software.
- Generate and provide delinquency reports to the Community Manager and Regional Manager as requested.
- Prepare and file evictions as directed in accordance with company policy, county and state laws.
- Maintain communication with attorneys regarding eviction processes and court dates.
- Assist in creating purchase orders as necessary.
- Complete move‑out inspections and ensure final move‑out statements are completed within 72 hours.
- Maximize gross rent and minimize vacant and delinquent rent loss in accordance with occupancy standards, property budget, and company policy.
- Turn over accurate collection files to the collection agency promptly when requested.
- Ensure pre‑close and month‑end accounting processes are completed promptly.
- Perform all tasks related to renting lofts, including generating traffic, responding to inquiries, greeting residents, giving tours, and qualifying prospective residents.
- Close the sale and get leases signed and executed.
- Prepare and send move‑out confirmation notices.
- Update availability reports and process applications for approvals.
- Maintain full knowledge of the Emergency Preparedness Plan (EPP).
- Maintain up‑to‑date resident information in property management software.
- Prepare and deliver lease violation letters and resident letters.
- Monitor renewals and follow up on renewal notices.
- Assist in coordinating resident events and vendor activities.
- Inspect the community daily, including the leasing office, parking lot, vacant lofts, buildings, and amenity areas, and coordinate with maintenance staff.
- Ensure all work orders are entered and followed up on completion.
- Perform mandatory punch‑ups and trash pickups as requested.
- Provide great customer service by promptly responding to complaints, questions, and requests.
- Act as the on‑site manager in the Community Manager’s absence by delegating work and coordinating with staff.
- Provide on‑the‑job training to subordinates.
- Maintain a safe environment for residents and staff and follow company safety guidelines.
- Utilize supervisory knowledge of common property management practices, including policy, market data, and legal compliance.
- Communicate clearly and effectively with residents about rent delinquencies and resolve occupancy issues.
- Model high customer service standards for all employees.
- Promote a team environment and assist with the Community Manager’s duties as directed.
- Respond to emergency communications at home during the night.
- Be available for weekend, holiday, and evening work.
- Be willing to be assigned to other communities as needed.
- Travel and overnight stays are limited but may be required.
