Job description
PURPOSE:
The Community Manager is the on-site leader of the Manufactured Housing Community (MHC) and reports to the District Manager. The Community Manager is responsible for executing the strategic vision for the property developed by the executive management team and communicated through the District Manager and for the overall day-to-day operation and performance of the MHC(s) with which he or she has been entrusted.
The Community Manager will be most effective when he/she builds a strong team (including on-site employees, Home Office personnel, contractors, vendors) with common goals and objectives. Daily responsibilities include:

Resident relations and service - Ensure excellent resident service including courteous and timely response to all resident requests and work orders. Implement and effectively manage resident retention programs and organize resident social events.

Rent collection - Enforce a fair and comprehensive collection policy as established for the property. Accurately account for all income received, ensure accurate transmission of income data to the data entry team and make bank deposits daily, in accordance with the company’s policies and procedures. Administer and manage the eviction process and attend court proceedings as required. Continue collection efforts for bad debt accounts.
Review targeted management reports in Yardi weekly and update as needed to ensure accuracy.

Marketing and occupancy – Know your market including market rent rates for MH and apartments, site-built housing costs, occupancy rates, move-in specials offered, competitive amenities etc. Creatively promote the property using occupancy programs and policies established for the property. Implement marketing techniques that will achieve maximum occupancy and a favorable resident profile. Qualify prospective residents by verifying and approving applications under established acceptance guidelines.
Renew leases under current rental policies and as approved by the District Manager. Prepare market surveys of competitive properties in the area. Ensure all property signage and leasing materials (which may include brochures, banners, guest cards, or newsletters) are utilized effectively.

Expense control - Operate the property within budget guidelines established for the property. Ensure the policy for authorized purchases is followed by all property employees. Limit property operating expense to the level necessary to maintain acceptable property condition. Ensure all services and work is completed as contracted prior to approval of invoices. Ensure all invoices are coded in Payscan accurately and approved on a timely basis.
Promptly approve and/or submit all property invoices for payment.
5.
Property appearance - Personally inspect the property daily including the common area (the pool, clubhouse/room, laundries, playground, and picnic areas), vacant sites, parking lots, models and vacant homes to maximize its appearance. Ensure that the property appears clean, well-maintained and free of clutter. Ensure that all vacant homes are market-ready in a timely manner, with minimal unproductive time, within the guidelines established by the District Manager.
Ensure that the Gold Star home service program is administered to every COH or Pelican owned home one time per quarter to preserve fixed asset value and performance.
6.
Team management – Recruit, hire, orient and train new property employees in compliance with company policies and procedures. Supervise the on-site team including prioritizing and scheduling work assignments and reviewing performance of all work. Ensure all property employees promote high standards of professional appearance and positive relationships with residents, teammates, other company employees, contractors and vendors. Ensure that work assignments are performed in accordance with OSHA (Occupational Safety & Health Act) standards at all times.
Train all property employees in safety awareness to limit property loss and damage or injury to residents and visitors of the property.
