About the OpportunityWe are a boutique commercial real estate brokerage and management firm with a close-knit, family-style culture and a lean operating structure. Every team member wears multiple hats, takes accountability, and contributes wherever needed. Our portfolio includes Class A office properties, retail shopping centers, and medical facilities, along with future development projects.
We are seeking a seasoned, highly organized professional who can move confidently between accounting, tenant and vendor issues, property financials, leasing and transaction support, and internal office administration. The ideal candidate is proactive, detail-oriented, financially capable, and comfortable being the operational hub of both the portfolio and the office. We welcome an experienced professional who can teach us new processes, introduce practical AI tools, and help create better outcomes through more efficient ways of working.
CoreResponsibilities Office Management & Administrative Operations
- Oversee the daily operation of the office, keeping administrative processes organized, responsive, and efficient.
- Handle and coordinate bookkeeping, (Quick Books), accounts payable and receivable, payroll, records, and routine accounting support.
- Provide administrative and leasing support to ownership, brokers, and the property-management team.
- Coordinate real estate transactions and maintain working knowledge of title, escrow, document execution, and closing processes.
- Prepare, route, track, and maintain agreements and other documents through Docu Sign and internal filing systems.
- Manage calendars, deadlines, office vendors, supplies, correspondence, and other operational priorities as needed.
- Use AI tools thoughtfully and responsibly, and identify, teach, and help implement better processes that improve accuracy, efficiency, collaboration, and business outcomes.
- Build reliable systems, follow through without constant supervision, and step into changing priorities in a lean team environment.
- Assist with the day-to-day management of the existing commercial portfolio and future development projects.
- Conduct regular property and site inspections; identify issues, document conditions, and drive timely resolution.
- Coordinate repairs, preventive maintenance, capital projects, and tenant-improvement work among landlords, tenants, contractors, and vendors.
- Manage tenant communications, rent collection, delinquencies, notices, and the eviction process when necessary.
- Prepare and maintain property budgets, rent rolls, rent-escalation schedules, CAM analyses and reconciliations, and other financial property reports.
- Support leasing activity, renewals, move-ins, move-outs, and ongoing tenant relations.
- Assist with commercial real estate financing and refinancing processes, including assembling lender and property documentation.
- Expert proficiency in Quick Books and Microsoft Office Suite.
- Associate or bachelor’s degree; finance, accounting, business, or real estate background is preferred.
- Active Nevada real estate license and Nevada property management permit.
- At least Five (5) years of commercial property management experience or equivalent.
- Demonstrated ability to perform both property-management and office-management responsibilities at a high level.
- Experience with online platforms, and digital document systems, including Docu Sign.
