The Department of Psychiatry is seeking a Grants Specialist (GS) to play a vital role in the sponsored project life cycle, ensuring that research proposals adhere to sponsor guidelines and are successfully submitted. The Senior GS supports faculty, center directors, and staff throughout the pre‑and post‑award stages of sponsored projects, including proposal preparation and submission, just‑in‑time requests, and compliance.
Primary Responsibilities- Pre‑Award: Conducts pre‑award tasks such as budget management, analysis, and justification of proposals for complex projects (e.g., program projects, ARPA‑H, DOD, DOE). Works with faculty to prepare and submit proposals, prepares and reviews agency forms, enters budget documents online, obtains required signatures, initiates subaward setup, and coordinates submission with the Post‑Award unit and OSRS.
- Post‑Award: Manages and monitors complex sponsored projects budgets, approves purchasing documents, handles subaward invoices, resolves fund profile setups and financial reports, manages correspondence with granting agencies (inquiries, carry forward requests, change in effort, no‑cost extensions, budget reallocation), and ensures that human and animal study protocols are linked to the correct proposal or award.
- Award Management: Reviews notice of awards, monitors award conditions, collaborates with PIs to submit annual agency reports (e.g., RPPRs), and coordinates the transfer of grants and contracts into WashU.
- Research Compliance, Reporting & Closeout: Provides support for grant‑related information requests, analyzes grant metrics and funding trends, organizes alerts for upcoming deadlines, and performs account closeout duties including submission of final progress reports and follow‑up with PIs on outcomes and patent statements.
- General: Assists senior leadership with special projects, prepares monthly financial reports, reconciles funds, processes budget adjustments, and maintains an online database of submitted, awarded, and rejected grants.
- Office environment with a requirement to sit at a desk and perform repetitive wrist, hand or finger movements.
- May travel for training sessions or seminars.
- Use of standard office equipment.
- Bachelor’s degree or equivalent combination of education and experience.
- Minimum of 3 years of relevant experience in grant or research administration.
- Strong analytical, deadline, and interpersonal communication skills.
- Knowledge of S2S, Research Management System (RMS), and SUBS system.
- Experience with grant proposals for ARPA‑H, DOD, DOE, and other complex program projects.
- Proficiency in accounting processes, Adobe Acrobat, IBM Cognos Analytics, Workday, and Microsoft Office.
Grade G12; $58,400.00 – $99,700.00 annually.
