Online Store & VinoShipper Manager

The Online Store & Vino Shipper Manager oversees the day‑to‑day operations of our online sales platforms, with a focus on accuracy, customer service, and proactive revenue generation. This role manages Vino Shipper functions, coordinates order fulfillment, supports wine club operations, and helps identify opportunities to grow online sales.

Some work can be done remotely; on‑site presence is required for shipping days, wine club packing and party dates, the weekly staff meeting and some other events.

Reports to:

VP Sales and Business Development

Hours:

• Part-time: approximately 12–24 hours per week
• Shipping Day:
  Typically Monday on-site;
  Sunday fulfillment may be an option depending on workflow and candidate preference
• Fridays:
  On-site for the 11:00 am staff meeting (remainder of day may be remote)

Hourly rate, commensurate with experience.

Vino Shipper & Online Store Operations

• Maintain and update online catalog details (descriptions, pricing, SKUs, imagery)
• Product creation may be included depending on experience and internal comfort level
• Manage customer information, segmentation, and account updates
• Create and schedule wine club releases in Vino Shipper
• Communicate with customers regarding order adjustments, club customizations, credit card updates, and general inquiries
• Stay current with Vino Shipper features; test and implement new tools as appropriate
• Coordinate with VP Sales and Business Development on catalog changes and promotions
• Process and fulfill online orders with accuracy and timeliness
• Coordinate with UPS and internal shipping workflows to ensure consistent pickup timing
• Maintain packing lists and ensure accuracy of shipments
• Communicate supply needs to the VP Sales and Business Development
• Complete order prep on Sundays to streamline Monday shipping
• Follow up on abandoned carts when appropriate
• Identify opportunities to convert online purchasers into wine club members
• Reach out to customers regarding seasonal promotions, limited releases, or reorders
• Support online sales campaigns and collaborate on digital marketing initiatives

Wine Club Management & Communications

• Create and manage club releases in Vinoshipper
• Process club member additions, drops, and account updates
• Respond to club member inquiries (shipping, customizations, event RSVPs)
• Assist with club event communication and RSVP tracking

Inventory Management

• Monitor inventory levels relevant to online orders and club allocations
• Communicate inventory needs and discrepancies
• Assist with basic replenishment planning

CRM & Data Maintenance

• Maintain accurate customer profiles across platforms
• Support reporting, data cleanup, and basic analytics related to online sales performance

Training & Feature Exploration

• Share new insights, efficiencies, or feature opportunities with the team

Administrative Support

• Assist with data entry, reporting, and coordination with internal teams
• Support smooth operations across online and direct sales channels

Required / Preferred Qualifications

• Experience with Vino Shipper or similar e‑commerce platforms (preferred)
• Basic inventory management experience
• Strong attention to detail and organizational skills
• Proficiency with Excel/Google Sheets; CRM familiarity
• Ability to work on-site for shipping days and weekly meetings
• Ability to lift 50 pounds and handle wine shipments
• Self‑motivated, reliable, and comfortable managing multiple tasks
• Comfortable with customer outreach (phone and email)
• Hybrid: remote-friendly for administrative tasks; on-site for shipping, staff meetings and some events
