Position SummaryThe Plant Records Coordinator will manage plant collections and records at DBG’s York Street and Chatfield Farms locations. The role involves inventorying and mapping gardens, updating the AutoCAD basemap, maintaining accessions, supporting irrigation scheduling, photography, data entry, and using drone imagery. The coordinator will also assist plant acquisition data tools, provide GIS and CAD support, and supervise volunteers and interns. The position is full‑time and may include remote work based on management discretion.
GeneralDuties and Responsibilities
- Inventory and map gardens, plants, and hardscape areas using appropriate techniques.
- Use the BG‑BASE database to create inventories, locate plants, and communicate with horticulture staff.
- Update BG‑BASE records, including new accessions, plant locations, and plant health/life statuses.
- Maintain accurate BG‑Map and Auto‑CAD maps for garden areas and provide digital or print maps to horticulturists.
- Coordinate with team members to ensure data integrity through record‑keeping and documentation.
- Assist with labeling, photographing plant collections, and manage the Gardens Navigator website for York Street content.
- Contribute articles to internal and external publications.
- Obtain and maintain a FAA Part 107 Remote Pilot Certificate and operate DBG’s drone under IT coordination.
- Support the horticulture team with Plant Acquisition Tools and report issues to the Associate Director.
- Support GIS and CAD mapping, data entry, and process documentation for the Plant Records department.
- Provide insight into evolving mapping technologies and practices.
- Become proficient with the NetX digital asset management system and act as liaison for the horticulture department.
- Coordinate and update changes to the Rainbird Site Control irrigation system on behalf of the horticulture team.
- Assist with planning and execution of the annual spring plant sale at the division level.
- Supervise volunteers and mentors interns, providing training and support as needed.
- Assist in special projects and outreach efforts within the Horticulture department.
- Serve as a horticultural resource to management, coworkers, volunteers, members, and visitors.
- Maintain regular attendance; remote work possible at management discretion, subject to performance standing.
- All DBG employees must be committed to the mission of connecting people with plants, particularly those from the Rocky Mountain region and surrounding areas.

- Proficient with Microsoft Word, Excel, Outlook, and Teams.
- Knowledge of plant collections management systems such as BG‑BASE, BG‑Map, and AutoCAD.
- Familiarity with Esri ArcGIS or other GIS tools and databases.
- Plant identification skills, including use of dichotomous keys and scientific nomenclature.
- Obtain and maintain a drone pilot’s license.
- Understand principles of surveying, cartography, and mapping.
- Represent DBG positively both internally and externally.
- Work with respect and cooperation at all times with employees and the public.
- Commit to workplace safety at all times.
- Bachelor’s degree or certificate in GIS, landscape architecture, horticulture, or a related field with 3–4 years of experience, or a comparable combination of education and experience.
- FAA Part 107 (UAS) Certification strongly preferred.
- Experience in horticulture is a plus.
- Valid Colorado driver’s license required.
Up to 10% travel is required to remote or other DBG locations with varying environments.
