Payroll Supervisor – Staffing Industry (Ontario, CA)

We are seeking an experienced Payroll Supervisor with Staffing Industry experience to join our team in Ontario, CA. Staffing industry payroll experience is required; VMS payroll experience preferred.

Essential Duties and Responsibilities Payroll Operations
  • Supervise and support Payroll Coordinators.
  • Ensure accurate and timely entry of weekly payroll for associates.
  • Review payroll reports, audits, and reconciliations prior to payroll approval.
  • Monitor payroll deadlines and ensure all client payrolls are submitted according to schedule.
  • Investigate and resolve payroll discrepancies, over payments, underpayments, and payroll‑related inquiries.
  • Coordinate urgent payroll requests, off‑cycle checks, and payroll corrections.
VMS Payroll & Client Management
  • Manage payroll processes for VMS and MSP clients, including Beeline, Coupa, Fieldglass, and other vendor management systems.
  • Review and reconcile VMS payroll reports and remittance files.
  • Ensure payroll data matches client‑approved time records and billing requirements.
  • Partner with branches, operations teams, and clients to resolve payroll discrepancies.
  • Monitor rate reconciliations and ensure compliance with client‑specific pay and bill rates.
Leadership & Team Development
  • Provide daily supervision, coaching, and performance management for payroll staff.
  • Conduct training sessions and ongoing development for payroll team members.
  • Establish performance expectations and accountability measures.
  • Assist with hiring, onboarding, and evaluating payroll personnel.
  • Foster a collaborative and customer‑service‑oriented work environment.
Compliance & Reporting
  • Ensure compliance with federal, state, local, and wage‑and‑hour regulations.
  • Maintain accurate payroll records and documentation.
  • Assist with payroll audits and internal compliance reviews.
  • Prepare payroll metrics, productivity reports, and management reporting.
Customer Service
  • Serve as an escalation point for branches, clients, and internal departments.
  • Maintain professional relationships with operations, accounting, pay/bill, and client service teams.
  • Ensure payroll issues are resolved promptly and accurately.
Qualifications Required
  • Minimum 3‑5 years of payroll experience within the staffing industry.
  • Minimum 2 years of supervisory or leadership experience.
  • Experience processing high‑volume weekly payroll.
  • Strong knowledge of payroll laws, wage‑and‑hour regulations, and payroll best practices.
  • Advanced Microsoft Excel skills.
  • Excellent organizational, communication, and problem‑solving abilities.
  • Ability to prioritize multiple deadlines in a fast‑paced environment.
Preferred
  • Experience with VMS/ MSP payroll accounts.
  • Experience with Beeline, Coupa, SAP Fieldglass, or similar VMS platforms.
  • Knowledge of staffing industry billing and invoicing processes.
  • Experience with payroll systems such as BTE, Bullhorn, Avionté, Temp Works, or similar staffing software.
Education
  • Equivalent combination of education and experience will be considered.
Compensation & Benefits
  • Competitive base salary of $65,000 - $75,000 depending on experience.
  • Compensation is determined based on job‑related skills, experience, internal equity, and geographic location. This role may also be eligible for overtime (if non‑exempt), bonuses, commissions, or other incentive pay, depending on the position.
  • Excellent benefits including matching 401(k) – fully vested on day 1.
