Office Services Coordinator – Ontario, CA (Onsite) – 3 Months contract (Potential for temp to perm) –Hours:
Mon-Fri; 8 Am to 5 PM Summary
- Support for the Pooled Support Team
- Provide administrative support to a small team or department
- Work in a close‑kine, professional, fast‑paced corporate environment
- Proofreading, formatting, editing, and redlining documents using templates
- Typing support for brokers and office staff
- Heavy email communication
- Multitasking in a fast‑paced environment
- Backup support for reception desk
- Assist with event setup and teardown
- General administrative support for the Operations team
- Opportunity to gain exposure to real estate industry
- Experience: 3 years preferred, especially in a corporate environment
- Education: High School Diploma/GED required
- Systems/Software:
- Microsoft Office (high proficiency in Word, Excel basics)
- InDesign (preferred)
- Docu Sign (preferred)
- Certifications/Licenses: Not required
- Strong multitasking ability
- High customer service orientation
- Excellent attention to detail
- Personable and friendly personality
- Team‑focused mindset
- Real estate background or experience
- Provide administrative support to multiple professionals; manage conflicting priorities
- Proofread, edit, and format documents with attention to detail
- Prepare proposals, presentations, and communication materials
- Coordinate distribution of internal/external marketing information
- Gather documentation to process brokers’ commission payments (per accounting policies and laws)
- Maintain Client brand consistency in marketing materials (flyers, proposals, maps, floor plans, tour books, qualification packages)
- Liaise with centralized marketing, analysis, and research teams for customized property packages
- Organize responses to RFIs and RFPs
- Coordinate complex meetings and conferences (on/offsite)
- Schedule appointments, manage calendars, arrange travel itineraries, and reserve meeting rooms
- Update and maintain databases; generate reports; assist with website updates
- Coordinate advertising schedules and placements with marketing teams
- Track and maintain inventory of marketing materials
- Conduct basic financial analysis (percentages, discounts, commissions)
- Abstract leases and interpret documents
- Solve problems with multiple options; apply intermediate analytical and quantitative skills
- Ensure deadlines are met independently; set own project timelines
- No formal supervisory responsibilities
- 2 rounds (1 Zoom, 1 onsite)
