Administrative Coordinator to the Clerk of the Board

Non-Exempt Definition Under  the general supervision of the Deputy Clerk of the Board, the Administrative Coordinator – Clerk of the Board provides administrative, records, research, and analytical support to the Clerk of the Board Department for the Inland Valley Development Agency (IVDA) and the San Bernardino International Airport Authority (SBIAA). The position supports day-to-day Board and departmental operations, including meeting preparation, records and public records coordination, correspondence, research, reporting, and special projects.

The position is designed as a progressive developmental role, with the expectation that the incumbent will build the knowledge and proficiency necessary to assume increasingly complex administrative and analytical responsibilities, including ADA web accessibility and GIS/spatial mapping functions, as training, knowledge, skills, and experience are developed.

Supervision Received and Exercised Receives direct supervision from the Deputy Clerk of the Board. Exercises no supervision of staff.

Essential Functions The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth.

Provides administrative and analytical support to the Clerk of the Board Department in support of the Inland Valley Development Agency (IVDA) and San Bernardino International Airport Authority (SBIAA).Assists with the preparation and coordination of Board and Commission meetings, including meeting materials, correspondence, reports, resolutions, contracts, supporting documentation, and other official records.

Supports the administration and maintenance of Agency records, including organizing, filing, scanning, indexing, researching, retrieving, and maintaining electronic and physical records in accordance with established procedures and retention requirements.

Assists with public records requests by researching and gathering responsive records, maintaining tracking information, monitoring deadlines, and coordinating documentation under the direction of the Deputy Clerk of the Board.

Provides administrative support for required governmental filings and reporting, including Fair Political Practices Commission (FPPC) filings and related tracking and documentation.

Conducts research, gathers and analyzes information, and prepares administrative materials, including correspondence, reports, summaries, spreadsheets, presentations, databases, and tracking tools.

Maintains departmental administrative systems and resources, including calendars, databases, files, logs, templates, records, and other tracking systems necessary to support efficient departmental operations.

Assists with departmental projects and process improvements by researching issues, organizing information, tracking assignments, coordinating activities, and identifying opportunities to improve administrative workflows and procedures.

Coordinates and communicates with Agency staff, elected officials, consultants, contractors, regulatory agencies, and members of the public while providing professional, timely, and responsive administrative support.

Performs progressively responsible administrative and analytical assignments under the direction of the Deputy Clerk of the Board. As knowledge, experience, and proficiency are demonstrated, the incumbent is expected to assume increasingly complex responsibilities involving Board and Commission operations, records administration, public records, governmental reporting, research, analysis, and special projects.

As knowledge, skills, and proficiency are developed through training and experience, progressively assumes departmental digital initiatives, including ADA web accessibility compliance, maintenance and updating of Agency web content and document portals, and GIS/spatial mapping and data resources under the direction of the Deputy Clerk of the Board.

Performs other duties as assigned. The employee will receive the training, instruction, and support necessary to successfully perform additional responsibilities that fall within the general scope of the position and align with the operational needs of the Agency.
