Payroll Specialist

Description

We are an exciting company located in Ontario, CA seeking an experienced Payroll Specialist to join our accounting/HR team. This role plays a critical part in ensuring accurate and timely payroll processing while maintaining compliance with federal and California labor laws.

Position Overview

The Payroll Specialist will be responsible for processing full-cycle payroll, maintaining payroll records, and ensuring compliance with all applicable regulations. The ideal candidate has experience handling multi-state payroll (California preferred), payroll tax filings, and employee deductions/benefits administration.

Key Responsibilities

+ Process weekly or biweekly payroll for hourly and salaried employees

+ Maintain accurate payroll records and employee data

+ Ensure compliance with federal, state, and local payroll regulations

+ Prepare and submit payroll tax filings (federal and CA)

+ Reconcile payroll reports, benefits deductions, and garnishments

+ Respond to employee payroll-related inquiries

+ Prepare payroll journal entries and assist with month-end close

+ Manage PTO tracking and accrual calculations

+ Support audits and year-end processes (W-2s, 941s, DE9/DE9C, etc.)

Requirements

Qualifications

+ 3+ years of payroll processing experience

+ Strong knowledge of California labor laws and payroll compliance

+

Experience with payroll systems (ADP, Paychex, UKG, Ceridian, or similar)

+ Proficiency in Excel (lookups, formulas, data reconciliation)

+ Strong attention to detail and confidentiality

+ Ability to meet strict deadlines

CPP certification is a plus.
