Payroll Clerk II

Qualifications
  • Must comply with all employment criteria legally established by the Lee County Board of Education.
  • Possession of a High School Diploma or GED plus an appropriate score on the Workkeys is required.
  • Possession of 60 college credits from an accredited college or university plus an appropriate score on the Workkeys is preferred.
  • Possession of an Associate’s or higher degree in a related field from an accredited college or university is highly preferred.
  • Minimum of two to four years bookkeeping experience.
  • Experience with Payroll Processing is preferred.
  • Must possess bookkeeping skills that include familiarity with accounts payable, payroll, invoice processing, and tax liability.
  • Proficiency in computer keyboarding and ten-keypad operation is requested.
  • Must be knowledgeable with Excel and Word.
  • Must have adequate secretarial skills.
  • Demonstrated aptitude for successful completion of the assigned task.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

Reports To: Chief School Financial Officer

Job Goal: Prompt and accurate handling of all payroll matters.

Essential Duties and Responsibilities Applicable to All Employees
  • Attend on a regular and predictable basis.
  • Complete assigned tasks in a safe manner and in a constant state of alertness.
  • Uphold Board policies, including the anti-harassment program.
  • Work in a cooperative manner with students, teachers, staff, supervisors, and the public.
  • Work effectively and efficiently under time and productivity standards.
Essential Job Functions
  • Responsible for processing all full-time and part-time contracted employees payroll information which includes inputting seven (7) main screens:
    • Personal Data
    • Tax Data
    • Miscellaneous Data
    • Deduction Data (YTD, Quarterly, Monthly)
    • Pay Record Data
    • Pay G/L Distribution
    • Quarterly Data (Information Purposes)
  • Oversee the calculation and input of Extra Programs employee monthly time sheets. (Programs included are Saturday School, Tutoring/Credit Recovery, Extended Day, Homebound Services, Contract Service, Nursing, Transportation, etc.)
  • Reconcile all full-time employees’ individual time and attendance in AESOP/Veri Time in assigned area. (Example: docking of leave, substitute pay and overtime)
  • Check/edit keypunched information.
  • File employee paperwork related to payroll or insurance.
  • Answer phone calls related to but not limited to payroll or insurance services.
  • Process all new employees for benefits and salary purposes in assigned areas
  • Assist with orientation for new employees for fringe benefit purposes at the beginning of each school year.
  • Send information memorandums and correspondence to employees.
  • Process disability claims and complete food stamp and employment verification forms for substitutes and employees.
  • Process retirement applications for employees in assigned areas.
  • Reconcile and pay bills for payroll deduction vendors for all employees.
  • Assist in facilitating compliance with various regulations including, but not limited to, the Affordable Care Act, Teacher Retirement Systems of Alabama, United States Department of Labor and the Internal Revenue Service, at the direction of the Payroll Accountant and Chief School Financial Officer, as appropriate.
  • Perform any other pertinent assignment deemed necessary by the Payroll Accountant and Chief School Financial Officer to assist in the efficiency and effectiveness of the Accounting/Payroll Department.
