Legal Assistant

Summary

We are seeking a highly organized and meticulous Legal Assistant to join our team. As a Legal Assistant, you will provide essential support to our legal team and ensure the smooth operation of our legal processes. This is an excellent opportunity for someone with a passion for the legal field and a desire to contribute to the success of a dynamic law firm.

Responsibilities
  • Front desk assistance including answering the phone and managing the mail.
  • Managing attorney calendars and tracking litigation deadlines under the Florida Rules of Civil Procedure.
  • Filing pleadings and documents through the Florida E‑Filing Portal.
  • Preparing and coordinating service of subpoenas.
  • Drafting basic correspondence to clients, carriers, and opposing counsel.
  • Assisting with discovery (interrogatories, requests for production, and notices).
  • Coordinating and scheduling meetings, depositions, mediations, inspections, expert examinations, and court appearances.
  • Assisting paralegals and attorneys in preparing subpoenas, hearing and trial books, and opening files.
Requirements
  • Prior experience in a civil litigation law firm strongly preferred.
  • Familiarity with Florida court procedures and e‑filing.
  • Excellent project management skills to manage multiple tasks simultaneously.
  • Ability to manage deadline‑driven work in a fast‑paced environment.
  • Strong organizational and follow‑through skills (this role requires ownership of assigned tasks).
  • Mindfulness and strong proofreading skills.
  • Ability to maintain confidentiality of sensitive information.
  • Effective communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Adobe, and Outlook).
