Accounting Office Manager
This role oversees the daily operations of a small office while managing core accounting functions, including accounts payable, accounts receivable, invoicing, and basic financial reporting. The Accounting Office Manager ensures accurate financial records, supports human resources activities, and provides administrative support to keep the office running smoothly. Responsibilities- Oversee general office administration to ensure efficient daily operations.
- Manage accounts payable and accounts receivable, including processing vendor and customer transactions.
- Prepare and process invoices accurately and in a timely manner.
- Handle job costing activities to support accurate project and cost tracking.
- Write and process checks in accordance with company procedures and internal controls.
- Assist with basic financial reporting to support leadership with timely and accurate financial information.
- Perform job entry into the ERP system, ensuring data accuracy and completeness.
- Check, verify, and post purchase orders (POs) into the system.
- Handle bank deposits, including preparing, verifying, and recording deposit transactions.
- Communicate with credit managers and other financial stakeholders regarding accounts and payments.
- Provide administrative support such as answering phones, ordering office supplies, and greeting visitors.
- Support basic human resources functions, including clerical HR tasks and employee-related documentation.
- Perform data entry and clerical work to maintain organized and up-to-date records.
- Collaborate with team members across the shop and office to support smooth operations.
- Maintain a professional, welcoming, and customer-focused office environment.
- 5+ years of experience in overall office management.
- Strong foundational accounting knowledge, particularly in accounts payable, accounts receivable, invoicing, and basic financial reporting.
- Proficiency with administrative support tasks, including clerical work, answering phones, and handling general office duties.
- Experience with invoice entry, check processing, and posting purchase orders.
- Ability to perform accurate data entry and maintain organized records.
- Experience with job costing and purchase order processing.
- Ability to provide human resources support for basic HR functions.
- Proficiency in MS Office, including Word, Excel, and Outlook.
- Clear written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
- Strong attention to detail, accuracy, and organizational skills.
- Ability to manage multiple tasks and priorities in a busy office environment.
Skills & Qualifications
- Experience working in an office within a fabrication, manufacturing, or similar environment is beneficial.
- Familiarity with ERP systems and job entry processes is an advantage.
- Comfort working in a smaller, family-run organization with a collaborative, team-oriented culture.
- Ability to build positive relationships with vendors, customers, and credit managers.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
The role is based in a custom fabrication shop that specializes in both large-scale projects and small custom jobs. You will work in a smaller, family-run operation with approximately 15–20 employees, fostering a close-knit, family-style team culture. The environment combines an office setting with proximity to shop-floor activities, offering a mix of administrative and operational exposure. This is a Contract to Hire position based out of Oregon City, OR.
Pay and BenefitsThe pay range for this position is $28.00 - $32.00/hr.
