Branch Support Specialist (Office Specialist
2) – Oregon City
The Oregon Department of Justice’s Division of Child Support seeks a friendly, helpful, organized, and decisive individual for the Oregon City office. The role supports child‑support case management with administrative and customer‑service duties in a collaborative, inclusive work environment.
Responsibilities- Serve as office receptionist, receive calls and visitors, forward calls to Oregon Child Support Program staff.
- Provide customer service and reception, screen telephone calls, assist walk‑in customers and visitors, answer general inquiry questions, and access and narrate computerized child support files when appropriate.
- Process outgoing mail, open and distribute incoming mail, and upload and associate documents to the web‑based child support case‑management system.
- Develop, draft and revise office procedures as needed.
- Attend team meetings, take notes, and prepare draft minutes for editing and approval.
- Coordinate scheduling of conference rooms.
- Notarize documents after successful completion of notary training and exam.
- Schedule and administer paternity tests at various locations.
- Find, interpret, and apply laws, rules, policies, and procedures that apply to this position in the Oregon Child Support Program.
- Provide technical assistance and administrative related tasks to support the team and management.
- Review and respond to inquiries about the status of cases assigned to the office.
- Perform additional duties as assigned.
- Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR an associate degree in any field; OR an equivalent combination of education and experience.
- Pass a comprehensive employment reference check and fingerprint‑based criminal background check. If a driving privilege is required, a driver history check will also be included.
- Will be required to obtain a Notary Public commission within six months of hire and maintain the commission throughout employment.
- Ability to accurately keyboard 45+ words per minute.
- Professional experience working collaboratively with a team and strong interpersonal skills.
- Maintain professional composure, tact, and friendliness when interacting with staff and the public under stressful conditions.
- Proficiency in Microsoft Office Suite and willingness to learn specialized software applications.
- Ability to read and interpret various computer program screens and coordinate data across multiple systems.
- Experience working independently, prioritizing tasks and meeting time‑sensitive deadlines, often with little notice and frequent interruptions.
- Exposure to a variety of operational areas within the Oregon Child Support Program.
