Accounts Payable Specialist

Location: Portland

Description We are looking for an Accounts Payable Specialist to support a property and facilities management organization in Milwaukie, Oregon. This Contract position is ideal for someone who brings strong invoice processing experience, sound judgment, and a detail-oriented approach to financial operations. The person in this role will help maintain accurate payment activity, support vendor and subcontractor transactions, and contribute to the smooth flow of day-to-day accounting processes.

Responsibilities:

- Review and enter vendor invoices each day with a high level of accuracy and attention to deadlines.

- Prepare and process weekly payments for subcontractor installers while ensuring supporting details are complete.

- Verify inventory-related invoices by comparing system receipt records with vendor packing documentation.

- Monitor expense submissions to confirm they follow internal approval standards and company policy requirements.

- Execute payment distributions promptly, including electronic and other approved disbursement methods.

- Reconcile vendor and accrual-related general ledger accounts on a regular monthly cycle and whenever additional review is needed.

- Identify unusual shifts in spending or payment activity and communicate findings to management in a timely manner.

- Provide general administrative and clerical support to the accounting team as business needs arise. Requirements - Hands-on experience in accounts payable, including high-volume invoice handling and payment processing.

- Working knowledge of account coding and core accounting functions within a finance environment.

- Familiarity with ACH transactions and standard payment disbursement practices.

- Experience performing account reconciliations and resolving discrepancies efficiently.

- Ability to review financial documents carefully and maintain strong accuracy in data entry.

- Comfortable prioritizing recurring deadlines in a fast-paced contract assignment.

- Experience supporting vendor or subcontractor payment workflows is strongly preferred.

- Exposure to 3PL-related processes is a plus.
