- Administrative and Clerical Support: Provide comprehensive administrative and clerical support to the Divisional Secretary for Program (DSP). This includes managing daily operational functions, maintaining office organization, and supervising designated support staff. The DSP will manage all related communications to ensure timely and organized responses.
- Program Assistance: Under the direction of the DSP, provide guidance to the Divisional Program Department staff including the DSPS (Divisional Statistician & Program Specialist) in the execution of program activities across the Cascade Division. Responsibilities include supporting the coordination and logistical planning of Divisional events and initiatives.
- Guidance and Compliance Support: Work under the DSP's direction to guide and support Corps Officers and Ministry Leaders in all matters related to the Program Department processes. Ensure timely submission and compliance with all required forms, reports, and documentation as outlined by Divisional and Territorial Headquarters' standards.
- Departmental Responsibilities: Manage divisional events, calendars, divisional reviews, and related reporting as described in the original content, including coordination of activities, budgeting, scheduling, and material dissemination.
- Office Operations: Maintain confidentiality, organize workflows, handle recordkeeping, scheduling, meeting coordination, and project/event management to support the DSP and Program Department.
- Divisional Events: Assist in planning and coordinating divisional events, including briefs, venue reservations, decorations, meals, registrations, and housing. Maintain digital records of events.
- Community Care Ministries and Corps Ministries: Support CCM rosters, trainings, and reports; provide guidance and administrative support for processes such as Local Officers Commissions, Bonds, PTM Certifications, and Corps Council Applications; track applications and facilitate approvals and CMS entries.
- Divisional Calendars & Travel: Maintain Divisional and DHQ calendars, coordinate travel calendars, and prepare quarterly reports on visits and calendar changes.
- Other Duties: Attend events, drive as needed, support team functions, and perform additional duties as assigned.
- Education: Bachelors (preferred) or High School or Equivalent (required); experience in administrative support and event coordination may be considered in lieu of a degree.
- Experience: Must be a uniform-wearing Salvation Army church member with demonstrated knowledge and experience in worship within The Salvation Army; 3–5 years of administrative support and event coordination experience (preferred).
- Licenses &
Certifications:
Oregon Driver's License; complete Salvation Army driver education within 30 days of hire; complete The Salvation Army's Protecting the Mission training. - Knowledge: Proficiency in Microsoft Office (Word, Excel, Publisher) and Canva; familiarity with office practices and English communication; ability to work independently.
- Other: Access to reliable internet; reliable transportation for travel; ability to operate Salvation Army vehicles as needed.
- Communication: Strong written, verbal, and phone communication; professional interaction with internal and external stakeholders.
- Organization & Teamwork: Highly organized, detail-oriented, and collaborative.
- Technical Proficiency: Proficient in Microsoft Office; experience with Outlook and calendars; familiarity with HP software, Zoom/Teams; ability to create professional documents and presentations in MS Office and Canva.
- Additional Abilities: Data handling, time/project management, problem solving, adaptability, and ability to work under pressure; valid driver’s license and transportation as required.
- Confidentiality: Maintain strict confidentiality of business operations and conduct.
- Workflow Management: Organize and expedite work within the department.
- Clerical and Secretarial Tasks: Typing, proofreading, filing, reporting, recording information accurately.
- Recordkeeping: Maintain organized records for events and activities.
- Document Design: Use desktop publishing and Canva to create forms, folders, flyers.
